Our client is seeking a professional and proactive Personal Assistant (PA) to join their team. The successful candidate will provide high-level administrative and secretarial support, playing a key role in ensuring the smooth day-to-day running of operations.
Responsibilities
- Managing complex diaries, including scheduling meetings, appointments, and travel arrangements
- Preparing comprehensive travel and business development packs tailored to the specific objectives of each trip, ensuring all relevant information is included
- Producing and editing high-quality documents from digital dictation or handwritten notes, adhering to internal style and formatting standards
- Managing the end-to-end billing process with accuracy and attention to detail
- Preparing documentation for business development activities and new client meetings, including research, biographies, and relevant company data
- Entering and maintaining business development information within the CRM system
- Organising both electronic and physical filing systems, ensuring documentation is filed correctly and promptly
- Providing general administrative support
- Performing ad hoc tasks and administrative duties as required
Requirements
- A minimum of 4 years’ experience as a Legal PA/Secretary supporting senior professionals
- Advanced knowledge of MS Word, Outlook, Excel, and PowerPoint
- Experience with document management systems, billing software, and digital dictation tools
- Strong ability to manage and prioritise tasks effectively in a dynamic environment
- A flexible and adaptable approach to workload and changing priorities
- A high level of discretion and confidentiality in handling sensitive information
- A collaborative mindset with a willingness to support team members as needed
- A proactive attitude towards learning and professional development, with a commitment to continuous improvement
