Job summary

Apex Group is seeking an Investor Oversight Services Analyst in Dublin to monitor day-to-day fund operations for Irish-domiciled funds. You will supervise third-party administrators, depositaries and managers, ensuring timely reporting and strong service levels.

The role requires excellent administrative and communication skills, attention to detail, and experience in financial services. You will work with cross-functional teams to support fund launches, regulatory checks and client delivery.

Responsibilities

• Oversee the delegated Transfer Agents to deliver top class service via KPIs and regular reviews.
• Day to day oversight of the Administrator’s processing of investor dealings and inquiries.
• Assist in reviewing the Administrator’s calculations of investor fees (entry/exit costs).
• Assist with investor communications including KIIDs and fund supplements.
• Prepare monthly management reporting and oversee regulatory checks.

Investor Oversight Services Analyst Job Summary

This role involves monitoring the day-to-day fund operations for a number of Irish domiciled collective investment schemes, including daily oversight of the third party fund administrators, depositaries and investment managers contracted by those funds.

Core Expectations & Contributions at this Level

Client Delivery

Oversee the delegated Transfer Agents to deliver top class service levels via supervision of service delivery through the ongoing compliance with SLAs, timely and accurate reporting including appropriate KPIs and periodic service review calls and onsite review meetings. Day to day oversight of the Administrator’s activities in processing investor dealings and resolving investor enquiries. Assist in the reviewing the Administrator’s calculations of all investor dealing related fees including; entry and exit costs. Assisting in the oversight of the preparation and issuance of all investor related communications including, KI(I)Ds, and fund supplements. Managing 3rd party service providers such as KI(I)D providers and data vendors. Assist with the completion and distribution of scheduled third party static data files. Assist clients with new fund/class launches, applying for security ID’s. Prepare and deliver monthly management reporting, including Management Company and Board reports. Prepare and perform monthly oversight and regulatory checks, including Ultimate Beneficial Owner (UBO), Ongoing charges and SRRI/SRI reviews. Assisting the business development team on ad hoc projects related to transfer agency issues. Demonstrate ownership, understanding, ongoing management and a client service excellence mentality in all that you do.

Compliance, Risk, Legal, AML, Audit & Regulatory

At all times ensure compliance with regulatory requirements and with relevant short, medium and long term objectives and values of the organisation. Promote risk awareness, assessment and control within the organisation. Assist with the development, implementation and maintenance of appropriate policy, procedures, process flows and job aids to meet internal control and external compliance/regulatory requirements.

Communication / Change Management

Effectively contribute in all relevant communication forums through being suitably prepared and performing the delivery of verbal and written submissions / conclusions as appropriate. Contribute to and support the effective delivery of the Pathways Framework objectives and ongoing Communication / Engagement plan.

Knowledge, Skills & Experience Required

Excellent administrative, organisational and business support skills. Strong communication skills with experience in managing multiple internal and external relationships. Ability to work accurately to tight deadlines. Proactive and able to work independently, but also with your team. Working knowledge of MS Office suite including Word, Excel, and PowerPoint. Sound procedural, technical and product knowledge of your specific functional responsibility and the entire business /Funds Industry is preferred. 1 +years financial service experience preferably with exposure to the fund industry.
