Job description

The Role;

Due to further expansion, we are seeking a Grant Documentation Administrator to join our busy QA & Documentation division.

At Ashgrove Renewables, we are responsible for processing a large number of grants weekly. This Grant Documentation Administrator will play a crucial role in supporting the grant management process by ensuring the preparation and collection of accurate and organised documentation of all aspects of grant applications.

This position involves working closely with the team to maintain records, upload grant applications and ensure compliance with grant guidelines for this office-based role.

Established in 2001 we have become a one of the leading renewable energy companies in Ireland. Following the launch of our Home Energy Upgrade division in 2021, we have grown significantly, and in 2024 our company was responsible for the delivery of >15% of the SEAIs One Stop Shop and CEG projects in Ireland.
In line with our expansion strategy, we are in the process of moving to our new office and warehouse which will offer state of the art facilities for our ever growing team. This will comprise, showroom, training facilities, customer meeting rooms and virtual meeting pods to cater for the ever-growing requirement for online consultations and presentations.



Main Responsibilities

  • Document Management: Maintain and organise documentation related to grant applications, approvals, financial reports, and other relevant materials

  • Preparation of Grant Documentation: Ensuring all documentation is complete and accurate.

  • Compliance Tracking: Monitor grant deadlines and ensure all documentation is submitted promptly.

  • Data Entry and Database Management: Input and maintain data in the grant management software or database, ensuring that all information is accurate and up-to-date.

  • Communication Support: Follow up liaising with homeowners, BER Assessors, builders and other professionals on documentation requirements.

  • Document Formatting: Assist with the preparation of grant documents, creating templates, and ensuring consistency in presentation.

  • Audit Preparation: Assist in preparing for internal or external audits by ensuring proper documentation is available and organized.

  • Administrative Support: Support the grant team with administrative tasks, such as scheduling meetings, preparing materials, and conducting basic research on potential grant opportunities.





Requirements


Experience:

  • Minimum 2 years experience in administrative and document coordination role.
  • Previous experience in grant administration is advantageous, as is experience working with government departments, or within the renewable energy sector


Skills:
  • Strong attention to detail and organisational skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and CRM database management
  • Excellent written and verbal communication skills.
  • Ability to work independently and collaborate as part of a team.
  • Ability to multitask in a fast paced environment.
