Tetra Tech Ireland are seeking an organised and detail-oriented Document Controller to join our Project Management Office (PMO). This is an excellent opportunity for an experienced document management professional to support Project Managers and multidisciplinary teams in the successful delivery of major engineering projects across multiple business sectors.

You will play a key role in ensuring that project information is accurate, accessible, securely managed and maintained in accordance with company, project and Integrated Management System (IMS) requirements.

Purpose & Scope of the Role

The Document Controller will be responsible for managing project documentation throughout the project lifecycle, from initial issue and distribution through to archiving and project close-out.

Working closely with Project Managers, Project Administrators, project teams, clients, consultants and contractors, you will establish and maintain effective document control systems and Common Data Environments (CDEs). You will ensure that project information is properly recorded, version-controlled, distributed and retained in line with applicable procedures and standards.

The role will support multiple projects across different business sectors and will require a proactive, collaborative and highly organised approach to document management.

Core Capabilities
  • Demonstrable knowledge of document management procedures, document control systems and version control and proven experience in controlling and managing project documentation across the full project lifecycle, including registration, review, issue, distribution, revision control and archiving.
  • Experience working to accredited Integrated Management Systems and related standards, including quality, data security and risk management requirements.
  • Proficient and demonstrated use in the setup and support of Electronic Data Management Systems (EDMS) and Common Data Environment (CDE) platforms, with the ability to establish, administer and maintain effective digital document management and filing systems.
  • Maintain registers for correspondence, change orders, early warning notices, RFIs, reports, letters, transmission sheets, BIM information and other project records, while establishing and maintaining coordinated, consistent and up-to-date filing systems.
  • Proven adoption of a structured and methodical approach to maintaining accurate records, identifying discrepancies, managing document versions and ensuring compliance with project and company procedures, and that project teams have access to the correct and most current information.
  • Keep project personnel informed of document revisions, provide guidance on accessing current information, maintain confidentiality and data security when handling sensitive records, and support project close-out activities, including the appropriate archiving of contract and project documentation.
  • Strong planning, prioritisation, time management, and coordination skills, with the ability to manage multiple projects, meet deadlines and remain accountable for the quality and timely delivery of work.
  • Coordinating and monitoring administrative activities to facilitate the efficient flow of project information, reviewing documents for quality, accuracy, completeness and compliance with company and project-specific procedures, and scanning, uploading, printing, saving and distributing documentation.
  • Consulting with internal stakeholders, Project Managers, clients, consultants, contractors and other third parties to maintain effective working relationships, assist with in-house Document Control training and document management initiatives, and undertake other duties as reasonably requested.
  • Excellent written and spoken English with strong interpersonal skills to work effectively with multidisciplinary teams.
  • Strong computer skills, including proficiency in MS Office, MS Excel and MS Outlook.

  • Experience working within an engineering design consultancy, contractor or similar project-based organisation in the UK or Ireland.
  • Experience managing documentation across multiple business sectors or large multidisciplinary project teams.
