Overview

Blackrock Health, Galway Clinic, is seeking a dedicated and experienced Administrator to join our expanding team. This is a dynamic and rewarding opportunity for a highly organised professional who thrives in a fast-paced healthcare environment. The successful candidate will provide comprehensive support to multiple consultants across a wide range of specialties, playing a pivotal role in ensuring the seamless delivery of patient care. This role goes beyond traditional medical secretarial duties. In addition to managing clinical correspondence and consultant diaries, the Consultant Support Administrator will work as part of a team of administrators to support the coordination of outpatient clinics, theatre procedures, day ward admissions, and cath lab bookings. The position also involves engaging with patients, GPs, and other key stakeholders, as well as contributing to ongoing improvements in systems, technology, and communication processes within the Clinic. We are looking for a professional who demonstrates discretion, compassion, and initiative, and who can balance precision with efficiency. Key Responsibilities
  • Deliver high-quality secretarial and administrative support to a portfolio of consultants, ensuring the smooth day-to-day running of their practices.
  • Manage and coordinate patient scheduling for outpatient clinics, theatre lists, day ward admissions, and cath lab procedures, maximising efficiency and minimising delays.
  • Act as the first point of contact for patients, GPs, referring clinicians, nursing staff, and consultants, ensuring professional, empathetic, and timely communication at all times.
  • Prepare and process medical documentation including clinical correspondence, reports, referral letters, and discharge summaries, with accuracy and attention to detail (including audio typing where required).
  • Maintain and update consultant diaries, proactively managing cancellations, rescheduling, and resource allocation to optimise use of theatres, diagnostic services, and staff time.
  • Assist with the roll-out and adoption of technology upgrades, such as electronic health records and booking systems, supporting both consultants and the wider team.
  • Facilitate strong links between consultants and referring GPs, coordinating follow-ups and contributing to excellent stakeholder engagement.
  • Work alongside senior management to identify service improvement opportunities, enhance administrative processes, and contribute to strategic goals.
  • Safeguard patient confidentiality and ensure compliance with GDPR, data protection policies, and all relevant healthcare regulations.
  • Provide flexible cross-cover within the secretarial and administrative team, ensuring continuity of service during staff leave or peak activity.
Candidate Requirements
  • Secretarial or business qualification (medical secretary training desirable).
  • Proven experience in a medical secretarial or administrative role, ideally within a private hospital or specialist healthcare environment.
  • Exceptional communication and interpersonal skills, with a professional and compassionate approach to patients and stakeholders.
  • Strong organisational ability with proven experience managing multiple priorities in a busy, fast-paced environment.
  • Advanced proficiency in Microsoft Office Suite (Word, Excel, Outlook) and working knowledge of healthcare IT systems; audio typing experience advantageous.
  • High attention to detail with strong typing accuracy and document preparation skills.
  • Demonstrated ability to work independently while contributing effectively as part of a multidisciplinary team.
  • A flexible, proactive, and reliable team player with a commitment to excellence in patient care and customer service.
  • Resilience and composure when working under pressure, combined with a solutions-focused approach.
