Business Enablement Support Officer, Company Secretarial Team- Dublin

Location/Office Policy: 10 Molesworth Street, Dublin 2 with Hybrid Working

Currently 2 days per week in the office moving to 3 days from 1st Jan 2026, when it will be Wednesday, Thursday and Friday in Moleworth Street

What is the Role:

This is an ideal position for a motivated individual who is passionate about delivering value to our key stakeholders and working in a collaborative environment, managing a number of critically important tasks for the Company Secretarial function.

The Company Secretarial team provides professional corporate governance and secretariat services to the Chair, Board of Directors, and Subsidiary Entities, and promotes best practice in corporate governance in line with AIB’s policies and guidelines, regulatory, statutory and listing requirements, company law and market practices.

This role requires initiative, attention to detail and excellent communication skills. You will also need to effectively manage relationships with both internal and external stakeholders, to work with senior executives, and be able to learn and adapt quickly.

Key accountabilities.

  • Manage the Company Sealing process.
  • Manage Cost Centre management activities including payment of invoices, reconciliation, accruals, budgets and forecasting activities using the Coupa and SAP systems.
  • Manage end to end processing and reconciliation of Non-Executive Directors Fee and Expenses
  • Manage Supplier Relationship Management (SRM) activities related to the external third parties providing services to the Company Secretarial team.
  • Lead out on matters related to Records Management and Data processing.
  • Assist and contribute to risk and control, and assurance activities, including in the area of Group Internal Audit enquiries within the Company Secretarial team.
  • Contribute to and provide cover for certain administrative activities including supporting the Board meeting administrative process when required.
  • Support the administration and wider access control processes related to the office’s key corporate governance technology platforms - Diligent and Intralinks.
  • Provide support for projects, ad-hoc requests and business as usual activity within the Business Enablement stream including the provision of IT support to Non-Executive Directors.

What you Will Bring;

  • 3+ years working in a financial services environment (preferably banking) in a secretarial or administrative capacity, including costs management
  • Strong written, interpersonal and communication skills, along with advanced MS Office skills, particularly Excel.
  • Systematic and organised approach to workload, including effective prioritisation, time management and the ability to cope with rapidly developing situations.
  • Ability to work on own initiative. Strong execution of administrative activities, with high attention to detail and accuracy.
  • Confidence to offer suggestions and process improvements to existing processes and champion them through to implementation.
  • Demonstrated ability and willingness to continuously acquire new competencies and accept new challenges.
  • Strong people engagement & communication skills and proven ability to manage internal and external stakeholder relationships- - ability to interface with all levels of the organisation. Demonstrates an ability to effectively engage, challenge and clarify needs and solutions.
  • Knowledge of Coupa, SAP and Shield platforms would be advantageous.
