A Tenant Relations role is central to property management, focusing on maintaining positive relationships between tenants and property owners or managers. Here's a comprehensive overview of the job description and responsibilities:

Communication Facilitation

Conduct periodic visits to tenants and provide tenants with general information

Act as the primary liaison between tenants and property management

Establish and maintain professional relationships with tenant representatives to ensure effective communication and long-term cooperation

Share updates, announcements, and policy changes clearly and promptly

Address tenant complaints and disputes professionally

Mediate issues to ensure fair and timely resolutions

Maintenance Coordination

Handle maintenance requests and ensure timely repairs

Minimize disruption to tenants during renovations or service work

Tenant Satisfaction & Engagement

Organize community-building events and appreciation programs

Conduct regular outreach and surveys to gauge tenant satisfaction

Organized hampers distribution and festive decorations for all tenants during Chinese New Year, Lebaran, and Christmas—completed two weeks ahead of each celebration

Assist in creating awareness on environmental and safety matters among tenants and visitors

Operation and Administration

Coordinate with Marketing, Project and Finance to hand over premises to the tenant and take over premises upon lease expiry

Assist in the coordination with tenants on fit-out, mobilization and the commencement of business

Request tenants (Loading/unloading permit, Access card, Parking, Overtime AC)

Rent collection, and compliance monitoring

Ensure tenants understand lease terms and property policies

Scheduling of Concierges team, also manage and motivate them

Ensure all concierge staff maintain proper grooming and attire while on duty, including uniform, makeup, and footwear. Oversee concierge-related needs including laundry uniform and conduct regular inspections of the lobby concierge desk to uphold service standards

Ensure the orchid flower is maintained at the Reception counter or common area

Record Keeping & Reporting

Maintain accurate tenant records and databases

Prepare reports on tenant relations activities and feedback

Key Skills and Qualifications:

Communication Skills: Clear verbal and written communication are essential and reflect a strong character, empathetic approach, and critical thinking skills

Empathy & Customer Service: Understanding tenant needs and providing support

Problem-Solving: Ability to resolve issues diplomatically and efficiently

Knowledge of Laws: Familiarity with local and national landlord-tenant regulations

Organizational Skills: Managing multiple tasks and maintaining documentation

Tech Proficiency: Use of CRM systems, property management software, and communication tools

Minimum 5 years’ experience as Assistant Manager role in the related field

Willing to work beyond standard back-office schedules, including during collective leave periods

Proficiency in speaking, reading, and writing in English is a must
