Job description

As Senior Lead Facility Manager EMEA, you will strategically oversee and operationally manage our portfolio of Retail, Corporate (Workplace) and OAC facilities, delivering operational excellence and a premium brand experience across all locations. This role is critical to driving seamless execution, sustainability integration, and the highest standards of facility performance and compliance. You'll be responsible for structured preventive and corrective maintenance, new store lifecycle management, vendor relationships, budget management, regulatory adherence, and sustainable operations.

Your Mission

Facility Operations & Premium Brand Experience:

  • Ensure all Retail, Corporate (Workplace) and OAC spaces consistently reflect premium brand standards through proactive facility management, superior maintenance, and excellent infrastructure
  • Oversee structured preventive and corrective maintenance programs, continually improving workflows to reduce downtime and optimize facility performance.
  • Conduct structured, documented site inspections, swiftly addressing and resolving issues impacting user experiences.
  • Establish robust KPIs and regularly report to senior leadership on operational trends, risks, and efficiency metrics.
  • Implement innovative solutions and proactive process improvements to enhance operational efficiency and cost-effectiveness.
  • Manage light renovation projects, aligning with brand standards, operational needs, sustainability goals, and CAPEX budgets.

New Facility Openings & Lifecycle Management:

  • Lead end-to-end facility readiness for new retail and corporate site openings, from pre-construction assessments to steady-state operational handover.
  • Develop and document structured facility workflows to ensure seamless transition from Retail Construction through Facilities Management into Operations
  • Provide expert feedback on facility design plans, optimizing long-term maintenance efficiency and cost management.
  • Set up and manage utility services for new sites, continually monitoring consumption for efficiency optimization.
  • Supervise general contractors and Integrated Facility Management (IFM) providers during site handovers, ensuring smooth acceptance and operational integration.
  • Track occupancy and collect data to inform space and strategy planning during rapid growth phases
  • Collaboarate with stakeholders to analyze and forecast space requirements
  • Strategically oversee regional OPEX and CAPEX budgets, ensuring alignment with annual financial plans, optimizing spending, and maintaining rigorous cost controls.
  • Develop and implement regional vendor procurement strategies, securing competitive pricing and service quality through consistent evaluations.
  • Leverage financial forecasting tools (ServiceChannel, Coupa, Looker, D365) for precise budget management, reporting, and proactive financial planning.
  • Conduct initial cost analysis for new site feasibility, supporting accurate financial forecasting through the Store P&L Proforma.
  • Establish preventive maintenance programs with vendors, ensuring adherence to local regulatory requirements and lease agreements.

Compliance & Documentation Excellence:

  • Ensure strict compliance with health, safety, and environmental regulations across all managed facilities, integrating compliance seamlessly into daily operations
  • Maintain audit-ready compliance records, managing inspections, permits, safety certifications, warranties, and insurance documentation centrally (ServiceChannel/FM Google Drive).
  • Collaborate proactively with Retail, Operations, HSS/Risk, and Finance teams to support business continuity and regulatory adherence.

Sustainability & ESG Initiatives:

  • Drive and implement sustainability initiatives, including eco-friendly procurement, waste management, energy conservation, and responsible resource use.
  • Track and report facility-related ESG metrics, ensuring accurate and timely annual environmental impact reporting to the Sustainability team.
  • Source and onboard Recycling and Waste Management vendors to ensure responsible disposal practices and transparency in reporting.

Cross-Functional Collaboration & Communication:

  • Partner closely with Retail, Real Estate, Construction, IT (Technology), Workplace Experience Teams/ Hospitality, Finance, HSS, Landlords, Sustainability, and Operations teams to align facility management strategies with overarching business goals.
  • Establish routine touchpoints with stakeholders including Store Managers, Regional Leads, and operational partners, proactively addressing facility needs.
  • Serve as a key liaison, providing structured operational updates, identifying risks, and highlighting opportunities for improvement and strategic alignment.
Your story
  • Minimum 10+ years' proven experience in Facility Management, Maintenance Operations, or Retail FM leadership.
  • Strong expertise in vendor management, contract negotiations, procurement strategies, and budget oversight (OPEX & CAPEX).
  • Extensive knowledge of compliance standards, health & safety regulations, and sustainability practices in facility operations.
  • Demonstrated proficiency with CMMS platforms (ServiceChannel preferred) and financial management tools.
  • Exceptional organizational, communication & stakeholder management skills, proactive crisis management, and emergency response experience.
  • Ability to effectively manage multiple priorities in a dynamic, fast-paced global environment.
  • Proven leadership and team management experience
  • Fluent in English and ideally German
