Job summary

Arup in Jakarta is seeking a Project Controls Coordinator to provide dedicated project controls support for major infrastructure initiatives in Indonesia, including MRT Jakarta. You will work with Project Managers and Discipline Leads to monitor programme performance, manage risks and costs, and maintain accurate reporting to support governance and client expectations.

Qualifications

  • Bachelor's degree in Engineering, Construction Management, Project Management, Business Administration, or related discipline.
  • Experience in project controls, project coordination, planning, scheduling, or project management support in a project-based environment.
  • Strong understanding of programme management, cost control, risk management, change management, and reporting.
  • Advanced proficiency in Microsoft Excel, Word, PowerPoint, and Teams; ability to create clear reports, dashboards, trackers, and progress summaries.
  • Excellent organisational and communication skills in English and Bahasa Indonesia, with strong attention to detail and cross-stakeholder coordination.

Responsibilities

  • Support Project Managers in maintaining project schedules, risk registers, action trackers, change registers, and project reporting systems.
  • Monitor progress against milestones, deliverables, submission dates, approvals, and programme commitments; track actions to completion.
  • Prepare and coordinate project reports, dashboards, progress updates, and client reporting materials.
  • Assist with cost tracking, resource planning, forecasting, and change control in collaboration with project, commercial, and finance teams.
  • Coordinate project controls activities across multidisciplinary teams and support governance, document control, and continuous improvement initiatives.

As a Project Controls Coordinator, you will provide dedicated project controls support for major infrastructure projects in Indonesia, including MRT Jakarta and a range of transport and infrastructure assignments. You will work closely with Project Managers and Discipline Leads to monitor programme performance, manage project risks and costs, support governance processes, and maintain accurate reporting. This role plays a key part in improving project delivery by providing visibility of schedules, commercial performance, project actions, changes, risks, and overall project status while ensuring compliance with Arup's internal standards and client expectations.

This role will be based in Jakarta.

The Opportunity
  • Support Project Managers in maintaining project schedules, risk registers, action trackers, change registers, and project reporting systems.
  • Monitor project progress against key milestones, deliverables, submission dates, approvals, and programme commitments, ensuring actions are tracked through to completion.
  • Prepare and coordinate project reports, dashboards, progress updates, and client reporting materials to support effective decision‑making.
  • Assist with cost tracking, resource planning, forecasting, and change control processes in collaboration with project, commercial, and finance teams.
  • Coordinate project controls activities across multidisciplinary teams while supporting project governance, document control, and continuous improvement initiatives.

Is this role right for you?
  • A Bachelor's degree in Engineering, Construction Management, Project Management, Business Administration, or a related discipline.
  • Experience in project controls, project coordination, planning, scheduling, project administration, or project management support within a project‑based environment.
  • Strong understanding of project delivery processes, including programme management, cost control, risk management, change management, action tracking, and reporting.
  • Advanced proficiency in Microsoft Excel, Word, PowerPoint, and Teams, with the ability to create clear reports, dashboards, trackers, and progress summaries.
  • Excellent organisational and communication skills in English and Bahasa Indonesia, with strong attention to detail and the ability to coordinate effectively across multiple stakeholders and disciplines.
