Position Overview

We are seeking a highly organized and proactive administrative professional to provide essential administrative support for specific projects on a contract basis. This is a remote role responsible for ensuring smooth handling of all administrative and logistical matters. The ideal candidate is an excellent communicator, proficient in office software, and able to work efficiently with minimal supervision.

Key Responsibilities

Administrative & Documentation Support

Prepare, edit, and format project reports, presentations, memos, letters, and other documents.

Manage both electronic and physical filing systems, ensuring accuracy, organization, and accessibility.

Record and distribute meeting minutes and track action items.

Independently handle company maintenance tasks.

Communication & Coordination

Act as the central point of contact for communication within the project team (internal) and with clients or vendors (external).

Manage the project email inbox, responding to or forwarding queries promptly.

Assist in scheduling and coordinating project meetings, video conferences, and calendars (across time zones).

Data & Information Management

Use Excel or Google Sheets for basic data entry, organization, and analysis to generate reports.

Maintain project contact lists, vendor databases, and other key information.

Logistics & Special Projects

Provide logistical support for remote events or online meetings.

Handle project-related travel arrangements (if required).

Perform other administrative tasks as assigned by the Project Manager.

Requirements (Must-Have)

Experience: Minimum 2 years as an administrative assistant, secretary, or in a similar role. Experience supporting multinational teams or project-based work preferred. Prior experience independently registering a company is a plus.

Languages: Bahasa Indonesia (native), English (written and spoken at business communication level).

Technical Skills:

Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

Skilled in remote collaboration tools such as Google Workspace (Docs, Sheets, Meet), Zoom, Slack, Trello, or Asana.

Core Skills:

Strong time management and multitasking ability, with capacity to prioritize and meet deadlines.

High attention to detail and accuracy.

Proactive, with strong problem-solving skills.

Equipment: Reliable high-speed internet, a quiet work environment, and a computer suitable for remote work.

Nice-to-Have Qualifications

Experience in startups, consulting firms, or international environments.

Experience handling government or business-related documentation (familiarity with Indonesian administrative processes).

Basic knowledge of financial processes (e.g., invoice handling).
