Personal Assistant to Executive Chairman/President

We are a leading manufacturer of high-performance valves, serving industries such as oil & gas, petrochemical, power, and water treatment. With a commitment to innovation, quality, and customer satisfaction, we are expanding our operations in Indonesia and seeking a reliable and proactive Personal Assistant to support our executive management team.

Role Overview

As a Personal Assistant, you will be the right hand to the senior executive(s), ensuring smooth day-to-day operations, efficient communication, and excellent coordination. You will act as a bridge between the executive and internal/external stakeholders, and your bilingual communication skills will be critical in representing the company professionally in both English and Bahasa Indonesia.

Key Responsibilities

  1. Manage daily schedules, meetings, and appointments for executive staff
  2. Coordinate internal and external communication (email, calls, documents)
  3. Translate documents and interpret meetings between Bahasa Indonesia and English
  4. Prepare reports, presentations, and correspondence in both languages
  5. Organize domestic and international travel arrangements
  6. Handle confidential documents with discretion
  7. Liaise with suppliers, partners, and clients on behalf of the executive
  8. Support in follow-ups and task tracking on key projects
  9. Perform ad-hoc administrative and operational tasks as required

Requirements

  1. Proven experience as a Personal Assistant, Executive Assistant, or similar role
  2. Fluent in Bahasa Indonesia and English (both written and verbal)
  3. Excellent organizational and time management skills
  4. Strong communication and interpersonal abilities
  5. Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  6. High level of professionalism, integrity, and discretion
  7. Familiarity with the manufacturing or industrial sector is a plus

Qualifications

  1. Bachelor’s degree in Business Administration, Communications, or related field
  2. Prior experience working with or supporting C-level executives
  3. Knowledge of valve products or industrial equipment (preferred)
