Job Description / Responsibilities:

As a Personal Assistant (PA) for a Healthcare Campaign in Bali, your role is to support senior management or campaign leaders in administrative, operational, and logistical tasks to ensure the smooth execution of healthcare-related operations and projects.

Key Responsibilities:

1. Administrative Support:

• Manage calendars, schedule appointments, and arrange meetings.

• Prepare reports, presentation materials, and meeting minutes.

• Handle confidential documents and communication with discretion.

2. Campaign Coordination:

• Assist in tracking campaign KPIs, deliverables, and deadlines.

• Coordinate with internal departments (e.g., HR, operations, training) and healthcare clients.

• Support onboarding logistics for healthcare experts and agents.

3. Communication Management:

• Act as a liaison between senior staff and internal/external stakeholders.

• Draft emails, memos, and announcements professionally.

• Help manage internal newsletters or campaign updates.

4. Logistics & Travel:

• Arrange travel, accommodation, and visa support for expatriate staff.

• Support relocation or health-related logistics for campaign participants if needed.

5. Operational & Project Assistance:

• Assist in documentation and compliance tracking related to healthcare data handling.

• Support audit readiness (if working with sensitive or regulated medical data).

• Help with recruitment coordination or training session schedules.

6. Supportive Tasks:

• Help plan team events or wellness initiatives.

• Handle urgent personal errands or office management tasks when needed.

Qualifications:

Minimum Requirements:

• Bachelor’s degree in Business Administration, Healthcare Management, Communications, or related field.

• 1–3 years of experience in administrative or personal assistant roles.

• Experience in BPO or healthcare campaign support is a plus.

Skills and Competencies:

• Strong organizational and time-management skills.

• Excellent written and verbal communication in English (other languages are a plus, such as Bahasa Indonesia or Thai).

• Proficient in Microsoft Office Suite, Google Workspace, and digital tools like Zoom, Slack, Trello.

• Discretion and professionalism in handling confidential information.

• Able to multitask and work under pressure in a fast-paced environment.

Preferred Qualities:

• Prior experience in supporting teams within healthcare or customer service environments.

• High adaptability and cultural awareness (especially in multicultural workplaces like Bali).

• Positive, proactive, and service-oriented attitude.
