Personal Assistant
Job Duties:
Managing schedule, appointments, and travel arrangements of President Director
Coordinate and manage the President's calendar, scheduling meetings, conferences, and appointments
Arrange and coordinate travel logistics including flights, accommodations, transportation, and visas
Prepare detailed itineraries and agendas for business trips and ensure all necessary arrangements are made
Organize and prioritize incoming communications (phone calls, emails, letters) and respond on behalf of the President Director when appropriate
Screen and direct phone calls, taking accurate messages and handling inquiries as needed
Manage the President Director email inbox, sorting messages, flagging urgent matters, and drafting responses
Prepare and coordinate meetings, conferences, and other events, including logistics, agenda creation, and document preparation
Schedule and coordinate internal and external meetings, ensuring all necessary participants are informed
Take detailed minutes and notes during meetings, and follow up on action items as needed.
Draft professional and polished correspondence, including letters, emails, and memos.
Maintain and update confidential files and records, ensuring accuracy and easy retrieval.
Establish and maintain a systematic filing system, both physical and electronic, for easy retrieval of documents.
Serve as a liaison between the President Director and various departments, conveying information and requests.
Receive and assess incoming requests, inquiries, and issues, determining their urgency and priority.
Support the President Director in preparing budgets, monitoring expenses, and tracking financial documentation.
Coordinate with legal and other relevant departments to obtain necessary approvals and signatures.

Requirements:
Bachelor's degree in Business, Management, Administration, economic and related field.
Minimum 2 - 3 years experience as a Personal Assistant, Executive Assistant, or similar role supporting executive
Excellent organizational and time management skills, with the ability to multitask and prioritize effectively
Strong verbal and written communication skills, with the ability to draft professional and polished correspondence
Proficient in using productivity tools such as Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and scheduling software
Professionalism, poise, and the ability to represent the President and the company in a positive manner
Knowledge of the manufacturing industry is a plus
