We are seeking a highly organized and detail-oriented Personal Assistant to provide administrative support to our senior management team. The successful candidate will be responsible for managing schedules, coordinating travel arrangements, and ensuring that all necessary documents and materials are prepared and available for meetings.
The ideal candidate will have excellent communication skills, strong organizational abilities, and the ability to work well under pressure.
Responsibilities:
- Manage the schedules of senior management team members, including coordinating meetings, appointments, and travel arrangements.
- Prepare and maintain accurate records and documents, including expense reports, receipts, and other financial documentation.
- Coordinate travel arrangements for senior management team members, including booking flights, hotels, and rental cars, as well as arranging for transportation and other logistical support as needed.
- Ensure that all necessary documents and materials are prepared and available for meetings, presentations, and other events.
- Provide administrative support to senior management team members, including answering phones, responding to emails, and completing other tasks as assigned.
- Maintain a professional and organized work environment, ensuring that all files, both physical and digital, are properly labeled and easily accessible.
- Develop and implement efficient office procedures and systems to ensure smooth operations of the senior management team.
- Collaborate with other departments and teams to ensure effective communication and coordination of efforts.
- Provide back-up support for other administrative staff as needed.
Requirements:
- High school diploma or equivalent required; bachelor's degree preferred.
- 6+ years of experience in an administrative role, preferably supporting senior management or executive-level staff.
- Strong organizational and time management skills with the ability to prioritize tasks and manage multiple projects simultaneously.
- Excellent communication skills, both written and verbal, with the ability to interact professionally with all levels of staff and external partners.
- Ability to work independently and as part of a team, taking initiative and exercising sound judgment when necessary.
- Strong attention to detail and ability to maintain accuracy and consistency in work products.
- Familiarity with expense reporting software and travel booking platforms preferred.
- Flexibility and willingness to work flexible hours as needed, including some evenings and weekends.
