Parts Coordinator

Job Responsibilities

1. Handle inquiries, quotations, and orders for spare parts from customers and internal teams.
2. Coordinate procurement, inventory management, and ensure timely delivery of spare parts.
3. Monitor stock levels to maintain availability of critical components while minimizing excess inventory.
4. Provide administrative support to the service team, including scheduling jobs, preparing reports, and maintaining records.
5. Assist in preparing service quotations and invoices.
6. Track and report on service metrics such as response times and job completion rates.
7. Act as a liaison between customers and the service team to address inquiries and ensure communication.
8. Follow up with customers on parts orders and service activities to ensure satisfaction.
9. Maintain organized documentation of transactions and activities.
10. Prepare reports on inventory, usage, and sales performance.
11. Collaborate with service engineers, managers, and logistics to ensure smooth operations.
12. Support finance by providing accurate billing info and resolving discrepancies.
13. Ensure compliance with Liebherr’s quality standards and regulations.
14. Adhere to health, safety, and environmental policies.

Qualifications

• Diploma in Business Administration, Supply Chain Management, or related field.
• 2-3 years experience in spare parts coordination or service administration.
• Excellent communication and customer service skills.
• Proficiency in managing purchase orders, invoices, and shipping documents.
• Knowledge of inventory management systems.
• Competency in MS Office (Excel, Word, PowerPoint).
