Order Management Specialist

Responsibilities:

1. Receive customer’s order (PO) and record it as Sales Order (SO) in SAP.
2. Check products availability in system and send Order Confirmation (OC) to customer.
3. Respond to all customer inquiries and orders.
4. Work closely with Production Planner to get confirmation on product readiness and lead time.
5. Communicate and collaborate with QC and Production for any special requirements.
6. Communicate and collaborate with EXIM on preparing shipping documents and get shipping details.
7. Communicate and collaborate with Finance on invoicing and all finance aspects related to customer.
8. Communicate and collaborate with QC and other related departments on customer’s complaint handling.
9. Communicate with Managing Director and Finance Manager regarding pricing policies.
10. Communicate and collaborate with customer’s representative on order details, delivery details, and payment details.
11. Work to ensure accuracy, speed, and quality of documents as well as responses to customers.
12. Maintain updated information by having regular communication with customers through teleconference.
13. Understand customer feedback by conducting a yearly customer satisfaction survey.
14. Actively participate in sales and operation meetings to ensure customer orders can be fulfilled as promised.
15. Actively work to achieve the given sales budget each month.
16. Participate in the dead stock reduction program and sales campaign.

Qualifications:

1. Minimum 2 years working experience in a related field.
2. Fluent in English is a must.
3. Familiar with SAP system.
4. Excellent working knowledge of MS Office (expert knowledge of Excel).
5. Strong self-motivation and initiative.
6. Drive and commitment.
