Job Description

We are seeking a Office Manager to coordinate all aspects of office management and work environment, including legal aspects of office permits. The role involves coordinating with all functions and departments to ensure smooth office operations, managing reception and building management, and supporting HR initiatives to enhance employee experience through office facilities.

Responsibilities include:

  • Oversee general office coordination within the Studio.
  • Maintain and verify records of all bills from vendors.
  • Coordinate with immigration agents for expat registration, visa, and travel document processing.
  • Manage and review the office budget, control expenses, and coordinate payments with the Accountant.
  • Supervise office facilities to ensure proper operation and maintenance (air-conditioning, electricity, furniture, supplies).
  • Collaborate with Purchasing for cost-effective services and oversee related projects.
  • Work with IT and Maintenance for office fit-out, renovation, and installations as per plans and vendor agreements.
  • Maintain inventory of office equipment and assets.
  • Coordinate with building maintenance for facilities, renovations, and installations.
  • Compile reports on office facilities costs, damages, and vendors, validated by the Studio Manager.
  • Work closely with the Legal team to ensure all office permits are valid and compliant.
Qualifications

Requirements:

  • Willing to work from the office in JOGJA.
  • At least 3 years of experience managing an office.
  • Strong multitasking and time management skills.
  • Ability to work independently with minimal supervision.
  • Good knowledge of building maintenance, safety, hygiene, and security.
  • Excellent organizational and supervisory skills.
  • Analytical and problem-solving abilities.
