Qualifications

  • 2-3 years of experience as an Assistant or in a similar administrative role.
  • Able to use Mandarin for daily communication (HSK 4 and above preferred).
  • High level of discretion and confidentiality.

Responsibilities

  • Manage and organize the executive's calendar.
  • Prepare meeting agendas and take minutes.
  • Coordinate travel arrangements.

Job Descriptions :

Executive Assistant, will provide comprehensive administrative support to executive members, ensuring efficient operation of their daily activities.

This role will involve managing schedules, facilitating communication, and performing various administrative tasks.

Responsibilities :

  • Manage and organize the executive's calendar, including scheduling meetings and appointments.
  • Answer phone calls and direct them to the appropriate personnel.
  • Prepare meeting agendas, take minutes, and follow up on action items.
  • Coordinate travel arrangements, including booking flights, accommodations, and itineraries.
  • Serve as a liaison between executives and internal/external stakeholders.
  • Draft and manage correspondence, including emails and reports.
  • Maintain confidentiality regarding sensitive information.
  • Assist in project management tasks as required.

Qualifications :

  • Minimum education of Bachelor’s Degree or equivalent; a degree in Business Administration, Accounting, Finance or related field is preferred.
  • 2-3 years of experience as an Assistant or in a similar administrative role.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant software.
  • Excellent verbal and written communication skills in English ,able to use Mandarin for daily communication(HSK 4 and above is prefferd).
  • Excellent in executive and corporate communication.
  • Strong organizational skills with the ability to multitask and prioritize effectively.
  • Proactive, agile and initiative person.
  • High level of discretion and confidentiality.
  • Willing to be placed in Malang.
