Job description

Job Summary

The role of HR Administrative is responsible for assisting and supporting recruitment, operation, and training in accordance with any Human Resources Department daily activities. The employee should run daily or monthly administrative filing, recruitment paperwork and supporting on training documentation as requested. The HR administrator’s task will be a helping hand to the HR department to manage internal HR databases. Typical duties include updating daily HR documents, answering employees’ questions, and keeping a track record of personnel documents, supporting each function within the HR, also as a main contact on managing employee Pfile.

Accountabilities

1. Recruitment & Selection

  • As a backup team for performing recruitment process of operational team (shortlisting candidates and hiring invitations along with TA Executive).
  • Preparing employee's contract (signing period, extension period) for Front End candidates as per instruction from team.
  • As a backup on interview invitation for Front End and Back End hiring process.

2. Operation & Administration

  • Managing employee Personal File (Pfile) for Back End and Front End in manual and system process.
  • Liaising with HR Operation on checking the joiner, mover, and leaver on a monthly basis.
  • Providing regular HR report to the reporting manager based on the updated and valid resource.
  • Responsible on making Minutes of Meeting within HR regular meeting.
  • Filling HR Documentation, such as policies, Pfile, others in a proper location.
  • Supporting HR operation on providing any employee letter (BPJS termination, reference letter, contract signed, insurance, etc)
  • Updating Employee data in manual or HRIS records from time to time and not limited on data but also in hardcopy file.
  • Responsible on managing the administration of Annual Leave record.
  • Supporting all the leaders on sending the reminder of Probation review form and other employee administration and form.

3. Learning & Development

  • Providing support on Training documentation, tools, and paperwork with Learning & Development leader
  • Supporting on checking pre and post training quiz.
  • Helping T&D team by checking the training video if needed.

4. Administration

Support reporting manager on basic HR report by collecting the information from each function for the reference.

Qualifications

  • Minimum bachelor’s degree in psychology, Human Resource Management, or a related field.
  • At least 2–3 years of experience in a relevant role is required; prior experience in recruitment is highly preferred.
  • Strong administrative skills, with attention to detail and accuracy.
  • Proficient in Microsoft Excel, Word, and PowerPoint.
  • Capable of effectively organizing and storing information in both paper and digital formats.
