Responsibilities include managing the Director’s schedule, ensuring smooth office operations, handling confidential information, and coordinating with vendors. We are seeking a proactive and highly organized Administrative Assistant to support day-to-day office operations and provide personalized assistance to the Director. This hybrid role requires strong multitasking ability, attention to detail, and a high level of professionalism.
Key Responsibilities
Ensure smooth daily operations of the office, including procurement of office supplies, facility management, and coordination with vendors.
Maintain general office inventory and handle asset tracking.
Support company events, meetings, and internal communication activities.
Handle document filing, mail distribution, and basic HR or administrative tasks.
Assist with internal compliance and administrative reporting.
Manage the Director’s schedule, including meetings and appointments
Act as a gatekeeper and liaison between the Director and internal/external stakeholders.
Prepare meeting agendas, minutes, presentations, and reports as requested.
Handle confidential and sensitive information with discretion.
Support personal or non-business matters for the Director when needed (e.g., errands, reservations, reminders).
Qualifications:
Well organized, detail-oriented and able to prioritize multiple assignments
Good English communication skills in both written and verbal
Possessing the ability to multitask
Proactive with the ability to work independently
Two years experience in an administrative role
Can ride a motorbike
