POSITION SUMMARY

The Admin will be responsible for purchase requisitions, travel management (hotel, flight booking, transportation, food & beverage ordering for visitors), employee attire management (ESD & PPE), locker management, acting as a liaison officer for visitors, administering expatriates’ legal documents, and supporting other general admin HR tasks.

MINIMUM REQUIREMENTS AND COMPETENCIES:

  1. Diploma in business administration, tourism, or relevant experience in tourism and administration, and/or SHS with a minimum of 5 years relevant experience in administration.
  2. Strong organizational skills and attention to detail in a fast-paced work environment.
  3. Excellent verbal and written communication skills.
  4. Proficiency in English.
  5. Familiarity with Microsoft Office, Outlook, and Travel Management Tools.
  6. Flexible, communicative, and open personality.
  7. Knowledge and experience in visa processing is a plus.
  8. Pleasant personality and ability to work in a team.
  9. Ability to handle employees' personal data with high confidentiality.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  1. Organize company meetings, events, and travel arrangements.
  2. Create and maintain the company visitors’ calendar.
  3. Handle correspondence and phone calls with external providers (travel agents, hotels, caterers, immigration authorities, etc.).
  4. Support general admin tasks such as training administration, new hire administration, and equipment management.
  5. Act as host to external and international visitors.
  6. Prepare and provide documents for international visitors or expatriates, such as invitation letters and visas.
  7. Support expatriates’ housing and transportation needs.
  8. Manage and handle attire (ESD & PPE) and locker key management.
  9. Liaise with finance regarding travel & entertainment budgets and expenses.
  10. Ensure stationary supplies are available.
  11. Maintain a clean and organized working area meeting the 6S standards.
  12. Perform other HR admin duties as assigned.
