Consultant as Human Resources Operations Assistant

Job Highlights

The Human Resources Operations Assistant provides essential administrative support to the HR department, focusing on HR administration, paperwork, consultant payment processing, HR letter creation, and supporting recruitment and benefits teams. The role requires attention to detail, organizational skills, and a proactive approach to problem-solving. The incumbent will maintain effective communication with employees, provide necessary information, and ensure confidentiality.

This position reports directly to the Human Resources Officer. The working arrangement is Office Flex, requiring a minimum of 3 days per week in the Jakarta office.

What You Will Do

HR Administration:

  • Maintain accurate employee records, including personnel files, leave records, and compliance data.
  • Manage new hire paperwork, terminations, and employment status changes via online and offline systems.
  • Assist with employee communications such as policies, procedures, and announcements.
  • Support employee benefits enrollment and changes.
  • Assist during onboarding and offboarding processes.
  • Draft and prepare HR-related letters, ensuring accuracy and legal compliance.
  • File HR documentation securely and maintain confidentiality.
  • Operate and manage Workday as the HRIS, ensuring data accuracy.

Consultant Payment Processing:

  • Ensure timely and accurate processing of consultant payments, including invoice verification and data entry.
  • Coordinate with payroll vendors and tax consultants to ensure compliance and accuracy.

Recruitment Support:

  • Assist with scheduling interviews, candidate assessments, and job postings.
  • Maintain applicant tracking systems and databases.

Benefits Management Support:

  • Support benefits claims processing, open enrollment, and record maintenance.
  • Assist with insurance administration and employee inquiries.

What You Will Need

Required qualifications:

  • Bachelor's degree in Human Resources Management, Business Administration, or related field.
  • At least 2 years of experience in an administrative role, preferably in HR.
  • Strong organizational and time management skills.
  • Proficiency in Microsoft Office Suite.
  • Attention to detail and accuracy.
  • Excellent communication skills, both written and verbal.
  • Ability to work independently and as part of a team.
  • Knowledge of HR policies and regulations.

Preferred qualifications:

  • Experience with HRIS systems (e.g., Workday, ADP) or Finance systems (Deltek, ECM).
  • Knowledge of employment law and regulations.

Deliverables

  1. Maintain accurate employee records.
  2. Process HR paperwork timely and accurately.
  3. Manage employee benefits effectively.
  4. Ensure consultant payments are accurate and timely.
  5. Support recruitment activities administratively.
  6. Support benefits administration and record-keeping.
  7. Provide monthly task completion reports.

Terms of Payment

Daily-rate consultant with a maximum of 18 working days per month.

Contract Arrangement

Part-time, limited-term individual consultancy contract.
