An established industry player is seeking a Document Control Specialist to manage and organize commissioning-related documents. This role is crucial for ensuring document integrity and compliance within the Commissioning & Operation Readiness team. You will track document progress, maintain registers, and prepare handover documentation for seamless transitions to Operations. The ideal candidate will have at least 5 years of experience in document control, particularly in mining or heavy industrial environments. The Document Control specialist will be responsible for managing, organizing, and controlling all commissioning-related documents, ensuring accurate and timely updates to document workflows, tracking progress, and supporting the orderly handover of documentation to Operations. The role will play a critical part in maintaining document integrity, compliance, and accessibility across the Commissioning & Operation Readiness (C&OR) team.
Key Responsibilities:
Document Management:
Manage workflows and revisions for all commissioning-related documents.
Track document versions, ensuring proper revision control and distribution to relevant stakeholders.
Maintain accurate records of incoming and outgoing documents.
Registers and Information Management:
Input and maintain information in commissioning registers, including but not limited to Lessons Learnt, Risk Registers, and Action Tracking.
Ensure real-time updates to commissioning documentation registers.
Handover Preparation:
Create and maintain organized handover document folders.
Ensure all commissioning documents are prepared and structured for seamless handover to the Operations team.
Progress Tracking and Reporting:
Monitor document completion progress against commissioning schedules.
Develop and provide daily and weekly progress reports to the C&OR Manager and project leadership.
Framework Development:
Develop and maintain document framework templates for commissioning and handover packages.
Standardize document formatting, structure, and filing conventions to ensure consistency.
Compliance and Quality Assurance:
Ensure document management practices comply with internal standards, EPC project requirements, and regulatory obligations.
Perform regular audits of document control systems and records.
Education:
Diploma or Bachelor’s degree in Business Administration, Engineering, Information Management, or related field (preferred).
Experience:
Minimum 5 years of experience in Document Control roles, with at least 2 years in commissioning projects within mining, oil & gas, or heavy industrial EPC environments.
Technical Skills:
Strong knowledge of document control systems (e.g., Aconex, EDMS, Procore, or similar).
Proficient with MS Office Suite (Word, Excel, PowerPoint, Outlook).
Familiarity with commissioning documentation such as check sheets, handover packages, and turnover dossiers.
Other Skills and Competencies:
Detail-oriented with strong organizational skills.
Ability to manage high volumes of documentation under strict deadlines.
Good interpersonal skills to coordinate with Engineering, Construction, Commissioning, and Operations teams.
Strong reporting and analytical skills.
Ability to work independently and as part of a team in a fast-paced environment.
Additional (preferred but not mandatory):
Previous experience in mineral processing plant projects or copper/gold mining sector is highly advantageous.
Familiarity with Indonesian mining and safety regulations related to project documentation is a plus.
