Responsibilities
- Prepare and organize the work agenda and activities of the Commissioners.
- Schedule internal and external meetings, including those with the Board of Directors, shareholders, business partners, and regulators.
- Arrange travel arrangements and logistical needs for the Commissioners.
- Create, store, and manage archives and important documents related to the Commissioners' activities.
- Prepare minutes of Commissioners' meetings, General Meetings of Shareholders (GMS), and meetings with the Board of Directors.
- Prepare reports on the Commissioners' routine activities and prepare supporting documents for decisions.
- Serve as a liaison between the Commissioners and the Board of Directors, management, shareholders, and external parties.
- Convey information, decisions, and directions to the Commissioners in a timely, clear, and confidential manner.
- Foster professional working relationships with business partners, the government, and regulators.
- Assist the Commissioners in ensuring compliance with company regulations, laws, and Good Corporate Governance (GCG).
- Support the preparation of presentation materials, annual reports, and official documents required for the supervisory function.
- Ensure the confidentiality of all documents, communications, and strategic company data.
- Manage access to information related to the Commissioners in a professional manner and in accordance with company security standards.
- Coordinate with the Corporate Secretary, Legal, and Management departments to ensure the smooth administration of the Commissioners' work.
- Assist in the preparation of reports or documents required for audits, compliance, or regulatory purposes.
- Ensure that all Commissioners' work needs (administration, documents, communications) are available on time.
- Responsible for managing petty cash for the Commissioners' needs.
Requirements
- Minimum Bachelor's degree in any major (preferably Business Administration) with a GPA of 3.00.
- Minimum of 3 years of experience as a Secretary.
- Good communication skills.
- Good English skills.
- Proficient in MS Office and Google Workspace.
- Maintaining the company's image through a polite and professional demeanor and appearance.
- Able to work under pressure and with deadlines.
