Your Role

As a Commercial Assistant, you will be part of the administration team that assists Sales, Finance, Customer Service and Operations. Together with your colleagues, you’ll ensure accurate costing, seamless coordination of door-to-door relocations, and timely financial processing. This position offers hands-on experience across commercial and accounting functions within a global network. Thus, it's the ideal position to join and gain diverse experience in the fast paced global mobility industry.


Key Responsibilities

Depending on your experience and profile, your responsibilities will be either

Commercial Coordination & Customer Service:

Plan expenses and establish costing for removals sales files, liaising with logistics partners (shipping lines, airlines, forwarders) and AGS teams in 100+ countries

Assist on Sales administration, follow-ups, tracking of Sales targets and activities and the commercial marketing activities of the company

Assist on the administrative steps of the removal process, i.e. the preparation and review of export/import documentation and operational planning of international moves. Communicate with customers via email, phone, and chat to deliver exceptional service and clear updates, helping to proactively resolve potential issues or client complaints

Finance & Accounting Support:

Receive, review, and code vendor invoices; reconcile supplier statements; ensure that all withholding tax certificates are collected

Process bank payments and wire transfers accurately and on schedule

Generate sales invoices, tax certificates, and withholding tax forms; Secure approvals by ensuring that our invoices are meeting all documentation requirements, i.e. include necessary attachments, and are promptly processed by our corporate clients

Maintain up-to-date financial records in the ERP system and assist with month-end closing and ad hoc reporting


Who we are looking for

Meticulous attention to detail and very high standards of accuracy

Strong multitasking, prioritization, and time-management skills

Mindset of curiosity, willingness to learn and grow in an international environment with high focus on continuous improvement and delivering high quality services

Fluency in English (verbal and written) for daily correspondence

Minimum 2 years relevant work experience in similar roles, i.e. Secretarial, Administrative Assistant, Finance/Accounting Assistant, Office Management, Client & Sales Administration, Sales Assistant, Logistics Officer

Bachelor’s degree (S1) with a minimum GPA of 3.00

Ready to be based in Pondok Ungu, Medan Satria, Bekasi

Commercial Coordination & Customer Service:

Client-facing experience is a plus

Experience in hospitality or logistics is a plus

Finance & Accounting Support:

Affinity for numbers is a must

At least basic understanding of accounting principles is a plus
