Assistant Director of Finance & Business Support
A little taste of your day-to-day:
Administration
- Assist in ensuring that the hotel holds all required licenses and permits to operate, and all insurances as stipulated in the management contract.
- Assist in reviewing all proposed contracts for pricing and terms, ensuring the hotel’s interests are protected at all times.
- Assist in providing support to operational departments in defining, implementing, and following up on improved control tools.
- Maintain communication with third parties such as owning companies, public auditors, and local authorities.
- Assist in overseeing the Finance and Accounting department, ensuring books, records, and accounts accurately reflect transactions and asset dispositions.
- Devise and maintain internal accounting controls to ensure transactions are executed in accordance with management’s authorization and legal standards.
- Review and certify financial reports before distribution and oversee the preparation of the yearly operating budget.
- Follow up on audits.
Technical Responsibilities
Assist in overseeing accounting functions, including:
- Timely preparation and accuracy of monthly financial statements and reports.
- Reconciliation of balance sheet accounts monthly, with discrepancies identified and corrected.
Accounts Receivable and Credit
- Ensure all receivables are collected and overdue balances are addressed.
- Organize regular credit meetings with management and department heads.
- Maintain accounts receivable sub-ledgers and credit limits.
- Verify daily cash and cheque collections and bank deposits.
Cost Control
- Maintain accurate inventory records and justify variances.
- Ensure food and beverage costing accuracy.
- Oversee procurement processes in accordance with hotel policies.
Payroll and Administrative Functions
- Ensure payroll accuracy and compliance with tax laws.
- Handle legal and tax matters in liaison with consultants and authorities.
- Coordinate internal and external audits.
- Implement and maintain accounting practices and procedures.
- Review operating equipment and inventory to prevent excess or obsolete items.
- Manage fixed assets, including acquisition and write-offs.
- Identify training needs and conduct training sessions for staff.
- Review payroll reports and reconciliations.
- Oversee the hotel’s computer systems.
- Regularly communicate with the Director of Finance regarding financial activities.
Qualifications and Experience
- Bachelor’s Degree in Hospitality, Tourism, Commerce, Finance, Business Administration, or equivalent.
- At least two years of experience in hotel accounting or audit, or an equivalent combination of education and experience.
