Assistant Director of Finance & Business Support
A little taste of your day-to-day:
Administration
- Assist in ensuring that the hotel holds all required licenses and permits to operate, including all insurances as stipulated in the management contract.
- Assist in reviewing all proposed contracts for pricing and terms, ensuring the hotel’s interests are protected at all times.
- Assist in providing support to operational departments in defining, implementing, and following up on improved control tools.
- Maintain close communication with third parties such as owning companies, public auditors, and local authorities.
- Assist in overseeing the Finance and Accounting department, ensuring books, records, and accounts accurately reflect transactions and dispositions of assets.
- Help devise and maintain internal accounting control systems to ensure transactions are executed in accordance with management’s authorization and in compliance with accounting standards and legislation.
- Review and certify internal/external financial reports before distribution and oversee the preparation of the hotel’s yearly operating budget.
- Follow up on audits.
Technical Responsibilities
Assist in overseeing and ensuring the smooth operation of accounting functions, including:
- Timely preparation and accuracy of monthly financial statements and related reports, ensuring corporate deadlines are met.
- Reconciliation of all balance sheet accounts monthly, with discrepancies identified and corrected promptly.
Assist in overseeing Accounts Receivable and Credit functions, including:
- Managing overdue balances and taking appropriate collection actions.
- Organizing regular credit meetings with the General Manager and department heads to analyze debtor balances.
- Maintaining the Accounts Receivable sub-ledgers, creating new debtor codes, and updating credit limits.
- Certifying monthly bank and credit card reconciliations and verifying daily cash and cheque collections.
Assist in overseeing Cost Control functions, including:
- Monitoring inventory records and correcting variances.
- Ensuring accurate recording of food and beverage costs.
- Overseeing procurement processes to ensure compliance with policies.
Assist in managing payroll and administrative functions, including:
- Ensuring payroll accuracy and compliance with tax legislation.
- Handling legal and tax matters in liaison with consultants and authorities.
- Coordinating internal and external audits.
- Implementing and maintaining accounting practices and procedures.
- Reviewing operating equipment stores to prevent excess or obsolete purchases.
- Managing fixed assets, including acquisition and write-offs, and liaising on physical asset counts.
- Identifying training needs and conducting training sessions for staff.
- Reviewing payroll registers and reconciliations.
- Overseeing the hotel’s computer systems.
- Communicating regularly with the Director of Finance and Administration about accounting activities and results.
Qualifications and Experience
- Bachelor’s Degree in Hospitality, Tourism, Commerce, Finance, Business Administration, or related field, or equivalent in Accounting or Finance.
- At least two years of experience in hotel accounting or auditing, or an equivalent combination of education and experience.
