Job summary

A leading consulting firm in Jakarta is seeking a professional to manage stock and administrative tasks. The role involves receiving, storing, and issuing office materials, as well as maintaining stock inventories and preparing reports. Candidates should hold a Diploma's Degree with a GPA above 3.00 and have at least 2 years of experience in administration. Major teams within CBS include Finance, Information Technology, Talent, Legal, Brand Marketing and Communications, Business Development, and Risk Management.

Job Descriptions:
  • Receive incoming stock items according to the firm’s standard procedure, including verifying the ordered items by comparing the physical count against the order list and identifying discrepancy and/or defects of items.
  • Manage received items by storing them in an orderly and accessible manner. This includes packing and unpacking items to be stocked on shelves in the stockroom, marking stock items using identification tags, labels, etc. (if necessary), determining proper storage methods, identification, and stock location based on turnover and physical capabilities of the room.
  • Handle requests from employees to issue materials, office equipment, etc. according to the firm’s standard procedure. This includes checking the availability of stock and ensuring the employee has filled the required form.
  • Manage stock availability on a regular basis according to the firm’s standard procedure. This includes verifying inventory computations by comparing them to physical counts of stock and investigating discrepancies or adjusting errors, examining and inspecting stock items for wear or defects, reporting any damage to the supervisor, keeping records on the use and/or damage of stock, and ordering new items when necessary.
  • Prepare a monthly report of stationery usage to be reviewed by the superior and submitted to the Finance & Accounting Department.
  • Clean and maintain supplies, tools, equipment, and storage areas to ensure compliance with safety regulations.
Requirements:
  • Candidate must possess a Diploma's Degree in Administration / Communication / Social Science with a minimum GPA of 3.00 out of 4.00 from reputable universities.
  • At least 2 years of working experience in administration matters.
  • Have good communication and interpersonal skills.
  • Ability to communicate fluently in English (both written and oral).
  • Have extensive knowledge of Microsoft Office.
