Business Assistants (Admin/HR/Office & Logistics Support)

Job Title: Administrative & Operations Coordinator (Full-Time)

Company: [Xusin PTE LTD] – A Singapore-based Trading Subsidiary of a Chinese Petroleum Group

Salary Range: SGD 3,300 – 5,200/month (commensurate with experience)

We are a newly established trading company under a renowned Chinese petroleum group, dedicated to expanding our footprint in Singapore and Southeast Asia. Key Responsibilities

  1. Administrative & Office Management
    • Oversee daily office operations, including document management, correspondence, and vendor coordination.
    • Handle basic accounting tasks (e.g., invoicing, expense tracking) and liaise with external accountants.
  2. Human Resources Support
    • Assist in recruitment, onboarding, and payroll administration for future hires.
    • Maintain employee records and ensure compliance with local labor laws (e.g., CPF contributions, work passes).
  3. Logistics & Vendor Coordination
    • Coordinate with freight forwarders and suppliers to ensure timely delivery of goods.
  4. Cross-functional Support
    • Act as the primary point of contact for visitors and external partners.
    • Assist in market research, data analysis, and business development initiatives as needed.
  5. Company Representation
    • Introduce the company to local clients and stakeholders, fostering relationships to support expansion.

Requirements

  • Experience: 3–5 years in administrative roles with exposure to HR, logistics, or trade operations.
  • Skills:
    • Proficiency in English and Mandarin (written/spoken) to liaise with Chinese HQ and local partners.
    • Strong organizational and multitasking abilities.
    • Familiarity with Singapore labor regulations and logistics workflows.
  • Attributes:
    • Self-Driven & Disciplined: Proven ability to work independently, prioritize tasks, and deliver results without direct supervision.
    • Proactive problem-solver with meticulous attention to detail, comfortable working in a fast-paced startup environment.
