Job Descriptions
  • Administration
    • To be fully in charge and responsible for the smooth function of the department's administration, including the maintenance of an efficient filing system.
    • To ensure that all documents related to the operation of the department are kept up to date and that all records are correctly maintained and filed, including applicable code compliance certificates and local authority inspection reports for the property and its systems.
    • To assume full responsibility for the preparation and timely submittal of all reports.
    • To maintain a comprehensive library of manuals and parts lists of all operational equipment, as well as up-to-date drawings of all areas and systems.
    • To ensure Engineering activities are aligned with the Engineering Corporate Strategy, and that Hotel Actions have been implemented where appropriate.
    • To represent the Engineering function on the hotel's Executive Committee.
    • To oversee the preparation and update of the Departmental Operations Manuals.
  • Strategic
    • Develops systems and procedures which ensure safety for customers, employees, plant, machinery and property.
    • Defines service standards regarding maintenance in all areas of the hotel and ensures adherence to these.
    • Prepares preventive maintenance schedules and ensures adherence.
    • Directs budgeting process for all capital expenditure to ensure the property is maintained to the best industry standards.
    • Identifies and develops new equipment and materials to enhance product quality, and introduces environment-friendly systems and equipment.
    • Develops an overall plan for energy optimization.
  • System
    • Guides the team in day-to-day operations of the hotel.
    • Ensures liaison with relevant Government agencies to ensure compliance with statutory requirements.
    • Prepares capital and RM budgets for Engineering.
    • Recommends changes in methods/equipment/staff to improve standards and productivity.
    • Coordinates and prioritizes maintenance activity of rooms and public areas with the Executive Housekeeper.
    • Directs organization of work within the department, including assignments, time schedules and vacations.
    • Ensures adherence to company and hotel policies by departmental employees.
    • Ensures renovated areas meet required standards and specifications prior to project handover.
    • Monitors key performance indicators for the department and takes corrective action as needed.
    • Ensures spare parts and materials are available in stores through proper planning.
    • Attends to any legal cases pertaining to the Engineering department.
  • Customer Service
    • Ensure all employees deliver the brand promise and provide exceptional guest service at all times.
    • Provide excellent service to internal customers in other departments as appropriate.
    • Handle all guest and internal customer complaints and inquiries courteously and efficiently, following through to resolution.
  • Financial
    • Assume full responsibility for the cost-effective operation of the Engineering Department.
    • Prepare annual and revised Engineering budgets with the Director of Finance, aligned to operational requirements.
    • Keep accurate records and monitor all Engineering budget expenditures.
    • Proactively manage costs based on key performance indicators while delivering the brand promise to the guest.
    • Allocate and countersign all invoices chargeable to the Engineering budget before processing.
    • Establish systems for control of fuel deliveries and utilities across the property.
    • Maximise employee productivity through multi-skilling, multi-tasking and flexible scheduling to meet financial goals and guest expectations.
    • Strategically analyse business performance to facilitate forecasting.
    • Ensure compliance with hotel, company and local rules on financial record keeping, money handling and licensing, with timely reporting of financial information.
  • Operational
    • Supervise Engineering personnel and delegate duties as required.
    • Develop and implement a comprehensive preventive maintenance programme for all equipment, including kitchen and laundry.
    • Coordinate and supervise special projects and outside contractors when requested.
    • Establish a well-organised Engineering store and control inventory.
    • Implement elevator emergency procedures and train staff with elevator manufacturers’ agents.
    • Inspect the building regularly with emphasis on life safety features and operating equipment.
    • Work with Security on Emergency Response Plans and life safety systems.
    • Advise the General Manager on potential improvements to operations.
    • Work with Materials Management on economical purchasing of parts and consumables and prepare purchase requests.
    • Conduct training in life safety and fire fighting with HR.
    • Monitor utility usage and promote energy efficiency across departments.
    • Ensure compliance with environmental programs and applicable codes.
    • Oversee renovations of guest rooms and public areas and regular planned servicing.
    • Supervise maintenance of gardens and grounds and roads.
    • Implement company life safety procedures and manage alarm systems and fire-fighting equipment.
    • Foster teamwork with other departments.
  • Personnel
    • Oversee recruitment and selection of Engineering staff using competency-based approaches.
    • Ensure punctuality and professional appearance of Engineering staff according to standards.
    • Develop staff through training, coaching, and mentoring.
    • Conduct annual Performance Development Discussions and support professional goals.
    • Encourage creativity, innovation, and recognition of contributions.
    • Ensure understanding and adherence to employee rules and safety regulations.
    • Provide feedback from Employee Opinion Survey and implement relevant changes.
  • Other Duties
    • Maintain professional relationships with representatives from competitor hotels and other organizations.
    • Respond to changes in the Engineering function as dictated by industry, company and hotel.
    • Adhere to hotel rules and policies regarding fire, hygiene, health and safety.
    • Attend training sessions and meetings as required.
    • Carry out any other reasonable duties and responsibilities as assigned.
