Assistant Director of Weddings and MICE

Duties and Responsibilities
In this role, I will assume full responsibility for the efficient operation of the Weddings and MICE section, providing exceptional products and services within the brand's operating standards. My key role is to identify prospective customers and establish goals for key accounts by analyzing historical and statistical data for market segments, account mix, and goals.
- Supervise and oversee the Event Strategy and Operations, including maintaining the accuracy and effectiveness of all written communication from the Sales Manager of Wedding & MICE to its turnover to the Wedding & MICE Manager and Event Coordinator. This includes proposals, LOA/Contracts, Turnover files, Banquet Event Orders, Group Resumes, Weekly Events Reports, and Zero Balance Reports for post-event analysis.
- Actively prospect, develop, and maintain local Wedding & MICE corporate and partner accounts through calls, trade shows, and on-site entertainment.
- Supervise the execution of banquet events, review all function space with the banquet manager, and ensure client satisfaction at the outset of all events.
- Participate in and/or attend meetings with hotel staff and clients, such as Operations Briefings, Banquet Event Order Meetings, Sales Meetings, and Site Visits.
- Assist with inquiries within the sales, marketing, and Wedding & MICE departments, including handling high call volumes and walk-in site inspections.
- Maintain understanding of Conference Services and assume an active role when required.
- Act as liaison for vendor/supplier needs, including AV, florists, entertainment, transportation, DMCs, and off-site locations.
- Contribute to the financial planning and analysis for Wedding & MICE and conference services, including weekly forecasts, month-end summaries, and the annual marketing plan and budget.
- Maintain an active presence in the local business and social community to generate new business, recruit talent, and support public relations.
- Ensure maximum effectiveness of Banquet Event Order and Resume meetings.
- Perform other tasks or projects as assigned by hotel management.
Qualifications
To succeed as Assistant Director of Weddings and MICE, candidates should have:
- Some college education plus 1-2 years of sales or related experience, or an equivalent combination of education and experience. A bachelor’s degree in hospitality, marketing, hotel, or business management, with over five years of senior sales and marketing experience, is preferred.
- Fluency in English; additional languages are a plus.
- At least five years of experience as a Wedding & MICE or Conference Services Manager in a full-service resort or hotel.
- Basic knowledge of audio-visual equipment, internet, and telecommunications technology.
- Knowledge of sales and Wedding & MICE software.
- Proficiency in MS Word, Excel, email, and internet use.
- High creativity in food and beverage menu proposals.
- Proven interpersonal skills with successful client interactions.
- Coaching and people development skills.
- Strong organizational skills.
- Indonesian citizenship.
