Job description

We are seeking an experienced Admin Specialist to join our team at Coconut Lab Pte. Ltd. This is a full-time position that will play a crucial role in supporting our operation, client and sales administration functions.

As our Admin Specialist, you’ll be working closely with the founder to keep both the business and day-to-day operations running smoothly. This is a dynamic, multi-functional role — perfect for someone who thrives in a fast-paced environment, enjoys learning, and is confident juggling a variety of tasks.

You’ll be the go-to person for both internal support and client communication. Your role includes:

Admin Support
  1. Manage and organize the founder’s schedule
  2. Respond to client messages professionally and in a timely manner
  3. Prepare proposals and follow up on pending payments
  4. Help with research and organizing files or documents
Marketing & Content Coordination
  1. Review and proofread captions, social media posts, and blogs
  2. Monitor engagement and report back insights from the founder’s social channels
  3. Coordinate posting schedules and help with light content planning
Operations Support
  1. Understand and navigate the tools we use for business (e.g., CRM, ClickUp, Figma, Slack, G Suite)
  2. Track tasks and ensure nothing falls through the cracks
  3. Assist in hiring or onboarding by helping screen candidates or schedule interviews
Who You Are:
  1. A highly organized and adaptable person who can wear many hats
  2. Excellent in written English and communication
  3. Tech-savvy and comfortable with tools like Google Workspace, Canva, or project management platforms
  4. Can work independently, and a problem solver
  5. Experienced in supporting small business or startup teams
  6. Calm under pressure and able to manage stress and shifting priorities
