Job summary

The Hong Kong Jockey Club is seeking a details-driven professional for the Charities and Community Division to handle payment requests for approved donation projects and to support timely liaison between grantees and the Trust.

You will assist in updating donations data and project records, support administration for related projects, and help monitor progress with on-ground visits and reporting. Strong accounting/financial background and communication skills are essential.

Qualifications

  • University degree or equivalent, preferably with accounting/finance relevance.
  • Minimum 3 years’ experience in accounting, auditing or payment vetting.
  • Experience in NGOs or social service sector is a plus.
  • Proficient with Excel, Word and PowerPoint.

Responsibilities

  • Handle payment requests on approved donation projects and vetting claims.
  • Maintain donations data and project records in Charities systems.
  • Prepare letters, fund transfers, reports, and liaison with grantees.
  • Monitor project progress via site visits and review progress reports.

The Club has a unique integrated business model, comprising racing and racecourse entertainment, a membership club, responsible sports wagering and lottery, and charities and community contribution. Through this model, the Club generates economic and social value for the community and supports the HKSAR Government in combatting illegal gambling.

The Division

The Charities and Community (C&C) Division manages strategic planning, grant donations, impactful project initiation, community engagement, and the day-to-day operations of the HKJC Charities Trust. C&C works with the Government, NGOs, and community partners to proactively identify root causes of social issues and address them through innovative approaches and cross-sectoral collaboration.

Job Summary

Suuport payment-related requests of approved donation projects funded by the Trust and to facilitate effective and timely liaison between grantees and the Trust to support project progress monitoring including service visits and funding disbursement matters; assist superiors on updating donations data and projects' records keeping.

The Job
  • Handle payment requests (including claims vetting) on approved donation projects to ensure proper use of Trust donation to achieve expected project scope and according to budget in a timely and effective manner.
  • Support the maintenance of relevant donations data and projects’ records keeping in Charities systems.
  • Support administrative work in relation approved projects, including but not limited to the preparation of relevant letters, virement of funds, preparation of reports, liaison with grantees, etc.
  • Support project monitoring on its progress and deliverables through service visits, and review of output achievements in progress reports.
  • Prepare presentation and reports for management / Board review on project portfolio related to updated status of donations approved and applications on hand, ensure accuracy and clarify of project information and data in the reports and in Grant Management Portal.
  • Assist in the updating of relevant documents and templates including the standard conditions of grants, notification letters, procedural manuals, etc.
  • Support any other work as assigned by supervisors.
About You
  • A university degree or equivalent, preferably with a major in accounting or financial related subject
  • A minimum of 3 years' relevant experience in accounting, auditing or payment vetting; experience in NGOs and/or social service sector would be an advantage
  • Good computer literacy in using Excel, Word and PowerPoint
  • Good Analytical Skills
  • Good communication skills and language proficiency (in both English and Chinese)
  • Good interpersonal and teamwork skills
  • Good people management skills in leading and interacting with various internal and external stakeholders
  • Ability to effectively multi-task and work independently and under pressure
