Job summary

City University of Hong Kong is seeking an Executive Assistant I/II in the Admissions Office to provide essential administrative support for local undergraduate admissions. You will process applications, manage records, and assist in communication with applicants and external partners.

The role requires 5 HKCEE/HKDSEE passes, proficiency in MS Office, and strong English/Chinese skills. Overtime and weekend work may be required during peak periods.

Qualifications

  • 5 passes in HKCEE/HKDSEE, including English Language, Chinese Language and Mathematics, preferably with an Associate Degree/Higher Diploma or equivalent qualifications, and with at least 2 years’ relevant working experience.
  • Proficiency in IT skills and computer applications, including MS Office (Word, Excel and PowerPoint).
  • Good command of written and spoken English and Chinese, including Putonghua.
  • Strong ability to work effectively in a team-based environment, with a detail-oriented mindset and good organisational, multi-tasking and interpersonal skills.
  • Ability to work under pressure with strong commitment and capacity to embrace new changes.
  • Experience in handling admission applications, large-scale data processing, preparation of statistics using Access and/or Excel, and/or proficiency in AI tools will be an advantage.

Responsibilities

  • Provide administrative/clerical support to local undergraduate admissions, including processing of applications and offers, managing records and databases, nominations to admission schemes, handling qualification documents and related matters;
  • Handle phone/email enquiries and walk-in enquiries from applicants, parents, and the general public;
  • Provide support in compiling admission statistics and checking of applicant data;
  • Liaise with internal offices as well as external parties in the execution of duties;
  • Provide general support for the daily operations of the Office;
  • Assist in student recruitment activities; and
  • Perform any other duties as assigned.

Executive Assistant I/II in the Admissions Office[Ref. R/295/26]

The appointee will provide essential administrative and clerical support to facilitate the University's admission of local undergraduate students.

Duties
  • Provide administrative/clerical support to local undergraduate admissions, including processing of applications and offers, managing records and databases, nominations to admission schemes, handling qualification documents and related matters;
  • Handle phone/email enquiries and walk-in enquiries from applicants, parents, and the general public;
  • Provide support in compiling admission statistics and checking of applicant data;

Salary and Conditions of Service

Remuneration package will be highly competitive, commensurate with qualifications and experience. Appointment will be made on a fixed-term contract; fringe benefits include gratuity, leave, medical and dental schemes.
