Job summary

The Hong Kong Jockey Club seeks an experienced administrator for its Representative Office in Guangzhou. You will support daily operations, organise events and travel, coordinate partnerships, and ensure bilingual communication with Hong Kong and Mainland partners.

You will draft documents in English and Chinese, liaise with multiple divisions, and contribute to knowledge management and reporting efforts. This role offers a dynamic, development‑oriented environment.

Qualifications

  • Bachelor’s degree
  • At least 3 years of relevant working experience, preferably in philanthropy (academia, non-profit, sustainability, health, social science, etc.)
  • Knowledge of HK and/or Mainland philanthropy sector will be an advantage
  • Excellent communication skills in English and Mandarin are essential; Cantonese is desirable
  • Events organisation and management experience
  • Strong analytical abilities and ability to apply strategic frameworks and problem-solving approaches
  • Ability to draft formal written materials in both Chinese and English
  • Good team working and cross-departmental collaboration skills, high-order thinking skills, and time management skills

Responsibilities

  • Oversee the team’s administrative tasks and provide support for day-to-day operations.
  • Assist in event coordination including networking events, forums, and delegation receptions; handle scheduling, venues, catering, and minutes.
  • Facilitate staff travel by coordinating proposals, bookings and itineraries; manage travel documents and expense claims.
  • Track Mainland project progress and partnerships; consolidate and report key achievements.
  • Coordinate reception requests and invitation logistics; provide scheduling support for events.
  • Draft and review key documents (annual plans, reports, papers, agreements) for quality and compliance.
