Silver Arrow are looking for a Workshop Records Coordinator for our transport client based in Sheffield - this is a permanent position.

We are currently seeking a Workshop Records Coordinator to support workshop operations by managing technician job cards and processing repair, maintenance, and warranty claims.

This is a fantastic opportunity for someone with a keen eye for detail and a passion for keeping things running smoothly behind the scenes.

Your Shift Pattern:

  • Monday - Friday
  • 0800 - 1630
  • £30,000 depending on experience.

Your Job:

  • Collect and review job cards from technicians to ensure all work is accurately recorded.
  • Input repair and maintenance data into our service management system.
  • Work within the service team to proactively load and plan the workshop, maximising utilisation under the direction of the Workshop Controller.
  • Prepare and submit warranty claims to manufacturers and suppliers in line with company standards.
  • Track claim status and follow up on pending or rejected submissions.
  • Liaise with technicians and service managers to clarify job details and ensure compliance.
  • Maintain accurate records of all service and warranty documentation.
  • Support the wider service team with administrative tasks as needed.

What we need from you:

  • Experience in a service administration or warranty processing role (truck or automotive industry preferred).
  • A high standard of Excel and may have even used ESA Mantis (parts identifier system) or something similar.
  • Strong attention to detail and excellent organisational skills.
  • Confident using workshop management systems and Microsoft Office.
  • Knowledge of truck components and service processes is a plus.
  • A proven track record within a supervisory capacity as this role does sometimes require you to work independently on the service reception.
