Job summary

Ubisoft Reflections is seeking a Workplace Specialist to ensure the studio runs smoothly, greet visitors, and support a vibrant, welcoming atmosphere. You will manage physical operations, repairs, safety practices, and event coordination, with on-site presence five days a week and flexible start/end times.

You’ll play a key role in maintaining a safe, efficient studio environment, coordinating with teams, vendors, and facilities to meet evolving needs while contributing to a positive employee

Qualifications

  • Experience in workplace/facilities coordination and health & safety basics.
  • Ability to prioritise tasks in a dynamic, reactive environment.
  • Excellent communication and time-management skills.
  • Familiarity with administrative tools and ticketing systems.

Responsibilities

As a Workplace Specialist, you'll be at the forefront of ensuring our studio operates seamlessly and as the face of our studio, greeting colleagues and external contacts, you’ll play a crucial role in shaping the studio’s vibrant and welcoming atmosphere.

Embracing challenges with creativity and adaptability, you'll ensure that our facilities are optimised to support our studio's needs. Whether it's physical operations & repairs, replenishing vending/coffee machines, coordinating events, or overseeing health and safety practices, you'll be the driving force behind our studio's operational excellence and compliance.

You’ll be part of a team that encourages proactivity, continuous improvement, and your dedication to enhancing our studio environment will make a tangible impact on the overall studio experience.

This is a dynamic role that requires on-site presence 5 days a week. While our core hours are 9am - 5pm (37.5 hours per week), we value flexibility and ask that you be available to adjust your schedule between 8am and 6pm occasionally, which will be shared amongst the team.

What You'll Bring
  • Experience in a workplace/facilities office/coordinator role, and an understanding of general office health and safety practices, facilities management, and event coordination.
  • Flexibility and adaptability to prioritise tasks in a dynamic, reactive environment are crucial, as other priorities may quickly arise.
  • Excellent communication, collaboration, and time management skills.
  • Exposure to health & safety practices such as housekeeping checks, fire marshalling, or first aid.
  • Patience, approachability, a problem-solving mindset, and the ability to take ownership of tasks.
  • Have the freedom to be yourself, develop invaluable skills, and make a genuine impact—all without needing to be in a technical role.
  • Familiarity with administrative tools and ticketing systems. Jira and Miro are desirable, but we welcome those eager to learn and adapt to new ways of working.
