Workplace Services Systems Administrator
Location: London or Liverpool
Contract Type: Permanent
Working Hours: Monday to Friday, 09:30 - 17:30
Hybrid Working: Minimum 3 days per week in-office
Join Us in Shaping the Future of Workplace Services. We're looking for a Workplace Services Systems Administrator to join our dynamic Workplace Services team. This newly created and permanent role plays a key part in our continued rollout and development of ServiceNow Workplace Service Delivery (WSD) - a system central to how we manage space, assets, and maintenance. If you\'re passionate about using technology to streamline facilities operations and generate data-led insights that inform strategic decision-making, this is an exciting opportunity for you.
Responsibilities
- Overseeing the CAFM system, ensuring it\'s maintained and aligned to business needs through effective updates and administration.
- Driving continuous improvement, supporting and training users across the business.
- Leading the next phases of our ServiceNow WSD development - including reporting, dashboard creation, asset tracking, maintenance management, and cost monitoring.
- Data Management: Ensure integrity and accuracy of CAFM data; maintain the asset database; create dashboards for analytics and reporting.
- Stakeholder Management: Coordinate with workplace services on system updates, present findings, and support decision-making.
- Project Management: Deliver CAFM-related projects on time and within budget.
- Product Backlog Management: Prioritise ServiceNow WSD tasks based on evolving requirements.
- Progress Monitoring: Track and evaluate product development milestones.
- Product Oversight: Lead product development and final quality assurance before go-live.
- Reporting & Analytics: Deliver insights on space utilisation, asset performance, maintenance, and cost tracking.
- Strategic Planning: Use data to support resource allocation and drive efficiency improvements.
About You
- Experience with CAFM systems like ServiceNow WSD, Concept FSI, Maximo, or Condeco.
- Familiarity working with Facilities and Health & Safety teams.
- Strong analytical and reporting skills using Excel (advanced functions, pivot tables, macros), Power BI, Power Query, or Tableau.
- Detail-oriented with a deep understanding of data accuracy, automation, and workflow optimisation.
- Excellent stakeholder management and cross-functional communication skills.
- Capability to manage product backlogs and support product ideation and delivery.
