Job description

FloQast is hiring a Workplace Experience Manager who will be responsible for providing a positive and seamless experience for our in-office employees while managing day-to-day office operations. The role is broad and varied and is an ideal fit for an individual who is creative and flexible to support our team and office operations to create a wonderful workplace experience. This role will mainly manage the daily operations of the London, UK office with additional responsibilities to provide remote support for the daily operations of the Sydney, AUS office and to other employees in the EMEA region. We are seeking positive, enthusiastic and people-oriented candidates with an impeccable work ethic and genuine excitement for workplace operations and contributing to an amazing employee experience.

Interested candidates in this role must commit to working 5 days on site Monday through Friday. Being on site is required and a non-negotiable for the role.

What You’ll Do
  • Ensure the London office is efficient, safe, clean, and well-stocked, creating a welcoming environment for employees and visitors.
  • Serve as the main point of contact for building management, maintenance teams, and vendors to resolve office-related issues for both London and Sydney offices.
  • Own local health and safety compliance for the London office, including maintaining fire safety plans, coordinating drills, and ensuring adherence to workplace safety requirements.
  • Coordinate and support EMEA-wide meetings, team events, and offsites, including light calendar assistance for the EMEA leadership team (e.g., scheduling, reminders, and logistics).
  • Provide remote workplace support for other EMEA-based employees and the Sydney, AUS office.
  • Oversee lunch, pantry, and food programs for the London office.
  • Partner with IT to support new hire workstation setups, equipment logistics, and visitor needs.
  • Manage workplace purchasing and budgeting, including vendor payments, invoice processing, and expense tracking.
  • Plan and execute in-office and virtual events for the London team and remote EMEA employees; provide remote coordination for Sydney office events.
  • Handle mail and shipping services for the London office; support EMEA-wide shipping as needed.
  • Office supply management and inventory.
  • Jump in on other tasks and projects as needed to support the team and company goals.
  • Management of office repairs, maintenance, and ordering of desks and office furniture
  • Long and near term workspace planning and strategy
  • Ensure a safe, compliant office environment in line with health and safety standards
What You’ll Bring
  • 3+ years of experience in office coordination or administration

  • Experience supporting a high-growth tech environment is strongly preferred
  • Strong communication and interpersonal skills with a collaborative, solution-oriented mindset
  • Proficiency in Microsoft Office and Google Workspace; Coupa experience is a plus
  • Comfortable working in a dynamic, fast-paced environment with shifting priorities
  • Highly organized with strong attention to detail and ability to manage multiple responsibilities
  • Positive attitude, high integrity, and a strong sense of ownership and accountability
  • Physical ability to lift and move up to 14kg when needed
