We are looking for a proactive Workplace Experience Coordinator to act as the operational heart of our vibrant London office. Reporting to the People & Culture Manager and collaborating closely with our global People team, you will play a pivotal role in ensuring an inspiring and productive work environment for both our in-office and remote teams.

This is a full time, permanent on-site role based in our London (E1) office and is a fantastic opportunity for a people-focussed problem-solver who thrives in a fast-paced, dynamic environment and embodies a strong team spirit.

Your responsibilities will include:-

Office Operations

  • Be the backbone of our London office: Responsible for all daily office operations, including maintenance, stock management, post, deliveries and general upkeep. Ensure all common areas are consistently organised, clean, and fully stocked with snacks, beverages, stationery, company merchandise, and any other ad-hoc items that enhance the employee experience.
  • Create a welcoming space: Act as the first point of contact for all visitors and new starters in the office by answering the door and creating a friendly, professional atmosphere that reflects our values.
  • Cultivate strong vendor relationships: Proactively manage relationships with all key vendors (cleaners, landlord, suppliers, caterers, etc.) ensuring a high standard of service that directly benefits our team.

People Team Support

  • Champion onboarding: Collaborate closely with our IT and People teams to ensure a smooth start for new employees, both in-office and remote. This also includes checking paperwork, preparing swag bags and having office tours.
  • Provide admin assistance: Support the People team in basic administrative tasks such as preparing letters, updating systems, raising purchase orders, liaising with our accounts team and other ad hoc tasks.

Events

  • Plan social events: Take the lead on planning and organising regular catered office lunches and monthly happy hours that foster strong connections and morale.
  • Arrange 6-monthly company-wide get togethers: Manage the end-to-end planning and execution of our biannual company-wide events and off-sites to ensure a great experience for all.

Health & Safety (H&S)

  • Drive H&S initiatives: Take ownership of our H&S programme, arranging regular H&S committee meetings, implementing our consultant’s recommendations and conducting H&S induction for new starters.

Your skills and experience:-

  • 2+ years of experience in an office management role, ideally in a tech startup
  • Previous experience of arranging meals and social events for employees
  • Previous experience identifying and contracting with vendors and managing these relationships
  • Excellent communication skills with the ability to build relationships with team members from diverse backgrounds
  • Self-starter, high attention to detail and very organised
  • Thrives in a fast-paced environment with changing priorities
  • Experience in HR and recruitment admin tasks
  • Familiarity with Slack
