Reporting to-Head of Assessments Operations

About the role

We are seeking a dynamic and strategic Workforce Capacity Analyst to lead the development and delivery of workforce planning and network capacity initiatives across ProblemShared. This pivotal role will ensure alignment between workforce capacity and business forecasts, enabling the organisation to meet its strategic and operational workforce goals effectively.

You will be responsible for developing long-, medium-, and short-term workforce plans, managing governance and stakeholder engagement, and supporting executive decision-making. This role requires a blend of analytical expertise, strategic thinking, and exceptional stakeholder management skills.

You will

Resource Plan , Schedule and Forecast

  • Monitor and track capacity and utilisation against forecast considering hiring, onboarding, leave, sickness, and target client waiting times
  • Establish process for monitoring and reporting on the operating capacity week to week
  • Monitor capacity and take appropriate action when there is significant reduction, including coordinating with contractors to meet targets
  • Monitor efficiency of onboarding process with the goal of aligning capacity expectation and truth
  • Identify trends, gaps, and opportunities within the workforce to escalate when action is needed to maintain or increase capacity

Engage with stakeholders

  • Communicate effectively with stakeholders including clinical leadership, Operations Leadership, Finance and Talent Acquisition to optimise capacity and utilisation
  • Disseminate appropriate business updates and foster communication channels with contractor workforce
  • Work with Talent Acquisition to inform medium term hiring needs

Analyse Data /Reporting

  • Collate, interpret and present forecasting and capacity data in monthly monitoring meetings with relevant stakeholders
  • Work with Clinical and Operations Managers and Utilisation coordinators to gatekeep and escalate capacity risk
  • Support other teams by collating performance management data and highlighting where action is required

What we are looking for

Required skills and experience

  • Experience in agile / start or scaleups / working at pace
  • You will be an experienced Workforce Capacity Analystwith proven expertise in workforce/ Headcount planning
  • Excellent stakeholder management and interpersonal skills – you’re approachable, credible, and confident.
  • Confident in delivering presentations, managing budgets, and driving continuous improvement
  • Experience influencing stakeholders and managing change in a complex & agile environment
  • Proven and effectiveproblem-solving skills, attention to detail, and the ability to interpret and action complex data
  • Strong analytical capability, able toidentify improvement opportunities in large datasets and presenting technical insights clearly to diverse audiences with creative questioning approaches including use of data analysis and interpretation skills
  • Self-driven and able to work with ambiguity with the ability to work in an agile and fast paced environment
  • High proficiency in Microsoft Excel

Nice to have

  • Experience in a healthcare setting is advantageous
