Overview
An exciting opportunity has arisen for a ward clerk within the Maternity department based in the Fetal Wellbeing Department. The successful postholder may be required to cover other departments within Maternity. We are looking for an enthusiastic individual who enjoys working in a team, has good interpersonal skills, and is efficient with excellent communication and IT skills.
You should possess a strong commitment to high standards of service delivery dedicated to giving patients and visitors the highest quality.

Responsibilities
- Provide comprehensive and confidential administrative and clerical activities to meet the needs of the service in accordance with Departmental, Trust and National standards, policies and procedures. Effectively communicate information and advice to enable the multi-disciplinary team to achieve operational excellence.
- Act as the first point of contact, welcoming service users to the department, dealing with routine enquiries and taking action as necessary, liaising with others as appropriate.
- Maintain an efficient and comprehensive administration service, providing support to other departments and team members within Maternity as requested.
- Communicate with staff, patients, families and any external organisations using appropriate methods.
- Maintain manual and electronic filing systems and databases, ensuring all documents are accurately archived in line with Trust policies.
- Utilise relevant Trust IT systems; ensure all relevant patient data is collected and input accurately in line with Trust guidelines. Systems may include EPR, Soliton, etc.
- Collate, input and monitor department documentation to assist with the production of monthly reports.
- Disseminate information to departments, external and internal users (e.g. minutes, memos).
- Assist with training new team members in Trust operational systems and department procedures.
- Order stationery and other equipment while monitoring and maintaining stock levels using Integra system.
- Receive and distribute incoming/outgoing post and take action accordingly.

Qualifications and Requirements
- Strong administrative and clerical skills with the ability to work confidentially and accurately.
- Good interpersonal and communication skills; ability to work as part of a multidisciplinary team.
- Proficiency in the use of IT systems relevant to the role and the ability to learn new systems as required.
- Commitment to high standards of service delivery and patient care.
- Willingness to cover other departments within Maternity as needed.
