Job description

This job has a key role within the Endoscopy Unit, providing clerical, reception, and administrative support to the unit.

The successful candidate will be able to deal face-to-face and on the telephone with a wide range of public and professional staff in a courteous and professional manner and will be able to maintain confidentiality at all times.

The ideal candidate will be well-organized, flexible, and possess excellent keyboard skills.

Responsibilities include providing reception and clerical support, admitting patients for procedures, discharging patients, arranging follow-ups, and performing office duties.

Duties and Responsibilities
  1. Provide effective verbal, written, and electronic communication by receiving and passing on clear messages and seeking assistance when needed.
  2. Answer telephones, relay messages, and handle inquiries promptly, including those from nurses, doctors, and patients.
  3. Act as the first point of contact for the person in charge, managing communications and sensitive issues appropriately.
  4. Support the Coordinator and work closely with the team.
  5. Liaise with patients, relatives, and visitors, providing directions and information, and obtain support from the multidisciplinary team when necessary.
  6. Maintain and photocopy records, prepare forms, and make appointments, including organizing transport arrangements with accurate and up-to-date information.
  7. Ensure patient pathways are printed and available for staff, scan all pathways for admission, and ensure name beds are printed for all patients.
  8. Use the PAS/MSS system effectively to input data, verify demographic details, and update information as needed.
  9. Liaise with the multidisciplinary team, assist in follow-up procedures, request investigation reports, and inform relevant staff when results are available.
  10. Handle mail and specimens, delivering them to the correct wards or departments.
  11. Perform errands between departments.
  12. Maintain stationery and stock levels, including ordering, receiving, and checking deliveries, and report discrepancies.
  13. Keep the nurses’ station tidy and stocked with necessary supplies.
  14. Establish and maintain an effective filing system.
Planning and Organizational Duties
  1. Use initiative to promote new ideas and improve services in consultation with the departmental manager and team.
  2. Plan and organize daily activities to fulfill duties and meet departmental requirements.
