We currently have an exciting opportunity for an administrative assistant that is looking for a new challenge to work in an organisation that will help you develop and achieve your goals to become the best you can be.

We are looking for an administrative assistant to join our Acute Adult Mental Health Ward situated at Pine Ward, Redwoods Centre, Shrewsbury. The Service offers mental health care and treatment across a variety of different age ranges and presentation. You may already live in Shropshire or are considering relocation to an idyllic semi-rural location.

The post holder will be working as part of a team along with a comprehensive multi-disciplinary team. The post holder will be expected to be able to use their own initiative and judgement, although they will be well supported by other Mental Health Admin staff and through the clinical and professional networks accessible through the community teams.

Main duties of the job

The post holder will be responsible for day-to-day duties across In-Patient Services to support the clinical functions of the Trust. To work in close co-operation with the Inpatient Medical and Clinical Administrators and/or Ward Manager in support of all staff groups and other medical professionals aligned to the ward.

What will the role entail?

  • Utilise the patient administration system (RiO) on a daily basis keeping accurate records.
  • Carry out administrative tasks such as photocopying, scanning, uploading documents, typing.
  • Use a variety of electronic systems (MS Office, RiO, MICAD, E-Proc).
  • Manage and deal with calls from service users, families, carers, and other professionals.
  • Support the team in carrying out admin work requests via the centralised admin inbox.
  • Confidently handling queries of a challenging/sensitive nature.
  • Concise and accurate message taking.
  • Reception duties including meeting and greeting service users, carers, relatives and visitors, as requested by the ward manager.
  • Prioritise own workload and meet deadlines in order to meet the requirements of the post.
