Job Overview

Undertake general Inpatient Ward administrative duties and provide administrative support to the Ward Manager, Clinical Administration Manager. To maintain a high standard of confidentiality and discretion at all times. To assist with the smooth running of the ward.

Main Duties
  • Answer the telephone in a professional manner, filtering and directing calls as appropriate, taking messages and ensuring they are delivered accurately and in a timely manner.
  • Use discretion and maintain high confidentiality at all times.
  • Ensure all e-mails are answered quickly and effectively.
  • Assist in maintaining stationery stock, supplies, to include ordering.
  • Maintain current electronic, EDMS, and hardcopy filing systems.
  • Attend team meetings and training days as arranged.
  • Take meeting minutes and provide accurate and timely reports when requested.
  • Assist with the preparation, collating, photocopying and distribution of ward related documentation.
  • Prepare admission documentation for new patients.
  • Assist with the planning and arranging of patient admissions, discharges or transfers.
  • Undertake any other task this may reasonably be expected of the post holder, as directed.
  • Use Trust systems to input electronic data as required.
