To provide an efficient administrative and clerical support service in line with service requirements.

As an important link between clinical staff, patients, and GPs, the post holder will be expected to project a positive and helpful image at all times.

Excellent communication skills are essential for this role, as the postholder is very much front of house and will be the first line of contact for colleagues and visitors.

Main duties of the job

  1. Attend any training courses which would benefit both the Department and your own knowledge and development.
  2. Carry out all duties and responsibilities in accordance with the Trust’s policies and procedures, including Health & Safety, and departmental procedures.
  3. Maintain stationery stock and advise the supervisor of requirements, ordering items on PECOS.
  4. Liaise with other hospital departments, e.g., Medical Records, Estates & Facilities.
  5. Liaise with Nursing/Care Home and Residential Home.
  6. Act as the first point of contact for visitors to the department when required.

Detailed job description and main responsibilities

  1. Communicate effectively and in a friendly manner with all staff groups and families.
  2. Pass on any messages given in role to the appropriate person as soon as possible.
  3. Adhere to the Trust’s Equal Opportunities policy in the workplace.
  4. Respond to requests for information and, where appropriate, pass on information to others, maintaining confidentiality.
  5. Provide administrative cover to the ward, ensuring high standards of service.
  6. Ensure the timely administration of admissions, discharge summaries, and GP notifications on discharge, ensuring data is recorded on the discharge database.

Experience and skills

  • Experience working within the NHS organization.
  • Key skills in numeracy and literacy.
  • Understanding of the role of a ward clerk.
  • Ability to file alphabetically and numerically.
