Join Our Team as the GLAM Volunteer Service Assistant! The Gardens, Libraries, and Museums (GLAM) Divisional Office operates across the Museum of Natural History, Pitt Rivers Museum, History of Science Museum, Ashmolean Museum, Oxford Botanic Garden, Harcourt Arboretum, and the Weston Library. Each year, hundreds of volunteers enhance the services that GLAM offers to audiences across these sites, supporting a wide range of public engagement activities and behind-the-scenes work.
The GLAM Volunteer Service is seeking an Assistant to support its daily operations: a busy yet rewarding role, essential for providing a professional, welcoming, and efficient service for both volunteers and staff. You will be the first point of contact for general enquiries about volunteering, handle recruitment procedures for new volunteers, and maintain accurate volunteer data. You will coordinate event volunteers across GLAM, manage requests from staff, and use our online volunteer management system to advertise opportunities and confirm responses. Additionally, you will induct new volunteers, support staff and volunteers with system queries, and contribute to volunteer communications, events, reporting, minute-taking, and room bookings.
This is a permanent, full-time position, working 36.5 hours per week, based at the Oxford University Museum of Natural History. The role is primarily office-based with some flexibility for hybrid working. Occasional evening or weekend work may be required. The successful candidate must undergo a satisfactory Standard Disclosure and Barring Service check, due to interactions with young volunteers aged 16 or 17 and volunteers with additional support needs.
You will have experience in managing administrative processes, with the ability to organise your workload and meet deadlines, demonstrated through formal qualifications (e.g., BTEC ND, NVQ Level 3 or equivalent) or relevant work experience. You should be numerate, accurate, detail-oriented, and methodical. An understanding of volunteering issues, especially in informal learning environments, is essential.
