Job description

Delivering exceptional client care in a thriving veterinary hospital

Are you an experienced veterinary receptionist with a passion for customer service and animal welfare? We're looking for a friendly, proactive, and compassionate Veterinary Receptionist to join our busy hospital team at Hart Veterinary Centre in Bicester.

Join an established team at Hart Vets

Hart Vets is a well-established, purpose-built small animal hospital providing outstanding veterinary care to the local community since 1993. With a hospital site in Bicester and a branch practice in Waddesdon, we're proud to combine cutting-edge facilities with a warm, family-oriented atmosphere.

As part of the IVC Evidensia group, we offer the support and stability of a larger network, while staying true to our values of personalised care, teamwork, and approachability. Our Bicester site is RCVS-accredited and equipped with the latest technology to support our team in delivering the highest standard of clinical care and client service.

About your new role

You'll be the friendly face and reassuring voice that welcomes clients to the practice, supports them during their visit, and helps them access the care their pets need. Working at the heart of a busy hospital team, your role will be varied and rewarding-no two days are the same.

Key responsibilities include:

  • Greeting and checking in clients with professionalism and warmth
  • Handling a high volume of phone and email enquiries
  • Booking appointments and procedures accurately
  • Taking payments and processing insurance claims
  • Supporting clinical teams with day-to-day coordination
  • Keeping the reception area clean, organised, and welcoming

  • What we're looking for

We're seeking someone with previous veterinary reception experience, who thrives in a fast-paced environment and genuinely enjoys helping people. You'll be calm under pressure, confident with IT systems, and a real team player. A sense of humour and a positive, can-do attitude will help you thrive in our close-knit, supportive team.

    Your skills and qualities:

  • Experience working in a veterinary practice (beneficial but not essential)
  • Excellent communication and customer service skills
  • Strong attention to detail and computer literacy
  • Initiative and problem-solving mindset
  • Ability to work both independently and collaboratively

  • Working hours

We are excited to offer a shift pattern with a focus on your work/life balance. We welcome applications from both part-time and full-time candidates, the only requirement is the ability to work every Friday and regular weekends (though not necessarily every weekend). Your shifts will be between the hours of 7:45 am and 7:15 pm.

    What we offer

We offer a great range of benefits, including:

  • 6.6 weeks of annual leave, including bank holidays
  • An additional day of annual leave to be used around the time of your birthday
  • Enhanced family-friendly policies (maternity, paternity, adoption, shared parental, and surrogacy)
  • Employee wellbeing initiatives and mental health support
  • Cycle to work scheme
  • Pawsome Benefits - retail discounts and cashback through Reward Gateway
  • Staff pet care discounts
  • Non-accidental injury support
  • Pension scheme
  • Access to the IVC Evidensia Academy for ongoing learning and development
