Job description

Responsible for viewing and processing physician orders in the electronic medical record, transcribing physician orders when needed especially during downtime procedures, maintaining bed management records, accessing lab results on the computer, performing receptionist and clerical duties, and coordinating non-nursing services within the unit.

Responsibilities
  • Initiate, assemble and maintain accurate, functional medical records for all patients in the assigned unit. View and process physician orders in the electronic medical record. Transcribe written physician orders during downtime procedures and complete all necessary forms, requisitions, and communications to implement orders and record clinical data. Follow up to obtain missing information.
  • Maintain adequate inventory of paper forms to ensure continuous service, minimize downtime, and keep the nursing station and area safe, clean, and functional. Manage updates and storage of all unit forms.
  • Greet and assist visitors courteously, screen calls, answer call buttons via nurse station intercom or in patient rooms, and direct to appropriate staff. Process mail, relay patient information, and schedule appointments as directed. Respond to inquiries regarding departmental procedures and policies.
  • Prepare medical records upon patient discharge. Copy medical records and obtain discs for transfers or discharges to other facilities.
  • Maintain patient census both manually and electronically.
  • Assist with report access or retrieval as requested.
  • File documents following standard procedures, maintaining neat and orderly medical records.
  • Attend daily interdisciplinary discharge rounds and keep logs of potential discharges.
  • Obtain and distribute the Advanced Directive List, Discharge Flag Report, and overdue lab specimen report daily for safety and workflow management.
  • Provide hourly floating coverage across inpatient units as needed.
  • Print lab slips during downtime procedures.
  • Order, track, and file equipment paperwork such as Wound VACs and specialty beds/mattresses.
  • Orient new staff members to the role of unit secretary and responsibilities.
  • Communicate pertinent patient care and general information to nursing staff.
  • Perform all other related duties as assigned.
