Primary Function

Responsible for viewing and processing physician orders in the electronic medical record, transcribing physician orders when needed, especially during downtime procedures, maintaining bed management records, accessing lab results, performing receptionist and clerical duties, and coordinating non-nursing services within the unit.

Responsibilities
  • Initiate, assemble, and maintain accurate medical records for all patients in the assigned unit. View and process physician orders in the electronic medical record. Transcribe written physician orders when needed, especially during downtime, and complete all necessary forms and requisitions to implement orders and record clinical data. Follow up to obtain missing information.
  • Maintain an inventory of paper forms needed to ensure continuous service, minimize downtime, and keep the working environment safe, clean, and functional. Update and manage storage of all unit forms.
  • Greet and assist visitors courteously, screen calls, answer call buttons via nurse station intercom or in patient rooms, and direct inquiries to appropriate staff. Process mail and correspondence, relay patient information, schedule appointments, and answer procedural or policy inquiries.
  • Prepare medical records upon patient discharge, copy records, and obtain discs for transfers/discharges.
  • Maintain patient census both manually and electronically.
  • Assist with report access or retrieval as requested.
  • File documents following standard procedures, keeping medical records neat and organized.
  • Attend daily interdisciplinary discharge rounds and maintain a log of potential discharges.
  • Obtain the Advanced Directive List and Discharge Flag Report daily for safety huddles.
  • Retrieve overdue lab specimen reports daily for staff distribution.
  • Float hourly as needed to cover open unit secretary areas across inpatient units.
  • Print lab slips during downtime procedures.
  • Order, track, and file equipment paperwork such as Wound VACs and specialty beds/mattresses.
  • Orient new staff members to all job responsibilities.
  • Communicate pertinent patient care and general information to nursing staff.
  • Perform all other related duties as assigned.
Qualifications and Requirements

High school diploma and at least one year of relevant experience or equivalent. Basic computer skills and knowledge of medical terminology are required.
